The Country Finance Manager is responsible for finance and accounting functions, especially for the preparation of local accounts in accordance with local legal reporting and tax compliance.

The Finance Manager is also the main contact for reporting data to the Group and is responsible for safeguarding and securing the assets of the company, and keeping the internal controls system operational.

Key Accountabilities

Payables

1. Review and approve invoices in Basware ensuring that they are posted to correct general ledger;

2. Prepare payment proposal for trade and non-trade for disbursement every 2nd and 4th Tuesday;

 

Receivables

1. Prepare daily cash and credit card matrices to facilitate reconciliation of cash;

2. Oversee the reconciliation of the sales performed by the Shared Service Center;

3. Facilitate the collection of credit notes per quarterly commercial agreements with vendors;

 

Cash Management

1. Facilitate random audits of cash/floats held in store safe;

2. Prepare budget for monthly outflow and have same approved by General Manager;

3. Update Trinity system with quarterly cash flow;

4. Transfer excess cash in local banks to offshore account;

5. Execute instructions from the treasury department;

 

Reporting

1. Ensure all relevant journal entries are made, invoices are posted applicable to the period in question;

2. Accruals must be submitted to the Shared Service Center with relevant supports;

3. Prepare the monthly profit or loss, balance sheet, cash flow statement against budget and previous year and year-to-date for review with General Manager;

4. Prepare other variance reports as requested by Shared Service Center;

5. Prepare end-of-quarter and end-of-year reports as requested;

 

Regulation & Compliance

1. Facilitate the renewal of the yearly Jamaica Customs licenses for all centers/store/warehouses where duty-free products are sold;

2. Facilitate the yearly renewal of the liquor license / retail town-off license;

3. Facilitate the filing of the yearly annual returns;

4. Ensure the company’s vehicles are duly registered, appropriately insured and fit for use at all times;

5. Facilitate the yearly business insurance coverage renewal;

6. Facilitate filing of the yearly income tax;

7. Facilitate the renewal of the Tax Compliance Certificate

 

Payroll

1. Oversee the execution of the fortnightly payroll for sales and warehouse teams – ensuring relevant supports are presented;

2. Prepare payroll for Administrative and Management Teams on a monthly basis;

3. Prepare and submit monthly S01 reports to Tax Administration;

4. Prepare and submit yearly S02 for submission to Tax Administration;

5. Distribute the yearly P24 to employees;

6. Maintain hard and soft copy records of all payroll records;

7. Prepare and submit journal entries of each payroll execution to Shared Service Center;

 

Audit

1. Facilitate cyclical and random internal audits of cash, records, assets and other important areas;

2. Facilitate yearly financial audits;

3. Participate in Jamaica Customs audits as required;

4. Lead and organize audits from the Tax Administration;

 

Other

1. Knowledge of Transfer Pricing is an asset;

2. Knowledge of SAP would be preferred;

3. Knowledge of the following would be an asset:

a. Customs Act

b. The Customs Regulations

c. The Spirit Control Acts

d. Statutes relevant to payroll

e. Pensions scheme for Tourism Workers

1. GAMMA – inventory management

2. Trinity – cash management

3. Anaplan - budgeting

4. SAP – accounting

5. TIS – intercompany payments

6. Basware – invoice processing
