Preparation of journals to reflect the expenses incurred in the operation

JOB PURPOSE

This post will support the accounting and finance department in Bahamas.  This post will be responsible also for the provision of financial services described as follows:

  • Preparation of journals to reflect the expenses incurred in the operation.
  • Revision of supporting documents to ensure that all the expenses have valid and complete supporting documents, based in IFRC financial procedures.
  • Provide support in the tasks related to treasury: prepare checks for payments to suppliers and support with the bank instructions for bank transfer to beneficiaries.
  • Support in the reconciliation of balances IFRC - BRCS
  • IFRC Balance Sheet items review and reconciliation
  • Support in the confirmation of balances (working advance balances IFRC staff)
JOB DUTIES AND RESPONSIBILITES

Accounting and validation of transactions

  • Ensure all accounting transactions are properly authorized and documented by original and valid supporting documentation.
  • Prepare the journals for the expenses incurred in the operation
  • Follow up with the project manager or unit staff that the forecasts, journal of expenditures, claim forms and other documents are presented within the established deadlines

Treasury

  • Prepare check for suppliers and service providers and support with the bank instructions for bank transfer to beneficiaries.
  • Prepare bank account reconciliations

Balance Sheet items review and reconciliations

  • Ensure the same amount that was counted match with the amount reflected in the accounting system
  • Validate the transactions in the petty cash
  • Provide reconciled account statements of the outstanding balances of staff
  • Provide support in the balance reconciliation IFRC - BRCS
  • Ensure that other balance sheet items are reconciled (e.g. prepayments, guarantee deposits, supplier balances, etc.)

Other Duties

  • Provide assistance in case of long term vacancies, absence or illness to ensure continuity of the finance function
  • Be prepared to deliver training to National Society Staff (if it is required)
Education
  • Associate Degree in Accounting- Reqired
  • Bachelor Degree in Accounting-Preferred
Experience
  • 3+ years of professional experience in a finance or accounting department - required
  • 2+ years of field experience in a humanitarian organisation - preferred
  • Experience working with the Red Cross / Red Crescent - preferred
  • Experience in Financial Reporting and Analysis - required
Knowledge and Skills
  • Self-supported in computing systems (e.g. accounting software package and MS Office)
  • Excellent communication skills
  • Good analytical skills and solution focused person
  • Time management skills
  • Training and mentoring skills

Languages

  • Fluently spoken and written English
  • Good command of another IFRC official language (i.e. French or Spanish) - preferred
