Executive Assistant

The Executive Assistant is responsible for providing professional administrative support to ensure that the national office operates in an organized, efficient and professional manner. The Executive Assistant provides the necessary skills to work effectively with national director, function advisors, staff, board and external stakeholders to accomplish the strategic goals of the association.

Requirements & Qualifications:

At least 2-3 years of experience working in Executive Administrative roles, preferably at the executive level in an NGO; Bachelor’s degree preferred in Administration, Project Management and Business. Proficient in Microsoft Office Suite (Outlook, Word, Excel and PowerPoint), Non-profit or customer-oriented background preferred.

Required knowledge and skills

  • Experience in administrative and operational support or customer services
  • Ability to self-start, work independently and achieve high standards to meet multiple deadlines.
  • Excellent time-management skills with the ability to simultaneously manage multiple projects.
  • Highly proficient in the use of internet and standard software such as MS Excel, Word, PowerPoint, Outlook, etc. as well as virtual collaboration tools
  • Excellent verbal and written communication skills
  • Ability to conduct research and prepare presentations or reports as assigned
  • Strong calendaring, organizational and document management skills
  • Work effectively with staff in a team-oriented environment with a positive, can-do attitude
  • Excellent command of English both verbally and in written form, Spanish competence an asset
  • Strong customer service mind-set combined with networking abilities, interpersonal skills and intercultural understanding
  • Able to handle stress in a positive manner
  • Knowledge of national child welfare system, Child Rights and Protection Act
