The Business and Employment Centre is seeking an Executive Assistant on behalf of its client. We are looking for a dynamic individual with exceptional organizational and analytical skills, outstanding communication and interpersonal abilities.

Main Duties and Responsibilities:

  • Manage schedules to coordinate meetings, events, and official activities.
  • Prepare agendas and coordinate logistics for internal and external missions and high-level visits.
  • Organize transportation services and collaborate with drivers or other transportation providers as needed.
  • Ensure efficient logistical arrangements for travel and official engagements, both locally and internationally.
  • Handle incoming and outgoing calls, redirecting them to appropriate personnel when necessary.
  • Welcome and assist visitors, ensuring smooth coordination during high-level visits.
  • Arrange logistics for receiving officials, including access to restricted areas if required and approved.
  • Arrange travel plans, including tickets, accommodations, and transportation.
  • Prepare and process expense reports for business trips.
  • Support event organization and supervision.
  • Draft and format documents, including correspondence, reports, presentations, and emails, ensuring high-quality standards.
  • Schedule and organize team meetings, prepare agendas, and document meeting minutes or follow-up notes.
  • Maintain updated contact lists of key stakeholders, including government officials, agencies, and other partners.
  • Handle international and external correspondence related to leadership activities.
  • Perform other administrative tasks to support the management team and office operations as required.

Core and Technical Competencies

  • Strong analytical and quantitative skills.
  • Excellent organizing, planning, and execution abilities.
  • Strong communication and interpersonal skills.
  • Proficient in Microsoft Office Suite and familiar with database systems.
  • Aptitude for quickly learning and adapting to new computer systems.
  • Knowledge of Canva would be an asset.

Qualifications and Experience:

  • Bachelor’s degree in social science or other related areas
  • A minimum of five (5) years of relevant experience, or the equivalent combination of education and experience.
  • Fluency in English. Knowledge of Spanish is desirable.
