EXECTIVE ASSISTANT - PROCUREMENT / ACCOUNTING In depth knowledge of procedures governing public procurement and disposal management / Knowledge of an Accounting software, QuickBooks

Executive Assistant - Procurement

KEY DUTIES & RESPONSIBILITIES:

  • Procurement and supplies management
  • Assists with small project tasks, including the digitization of company records
  • Provides administrative and operational support
  • Maintains stock at optimum levels consistent with operational demands
  • Prepare purchase orders and maintain procurement records
  • Participates in the planning of corporate activities as requested
  • Prepare correspondence, reports and other organizational documentation
  • Enters correspondence on files in the form of folios
  • Upkeep and preservation of records in the relevant system and document databases.
  • Maintain file register and filing systems
  • Creates written drafts, then proofreads documents to ensure accuracy
  • Performs any other duties as assigned by the relevant Line Manager

KNOWLEDGE AND SKILLS:  Procurement

  • Excellent verbal, written and interpersonal communication abilities
  • Proficiency in Microsoft Office Suite and use of the computer
  • Ability to take initiative and solve administrative problems of low to medium complexity
  • Ability to maintain strict confidentiality standards
  • Attention to details.
  • Ability to work independently and be a team player
  • Knowledge of the laws, guidelines, and procedures governing public procurement and disposal management

QUALIFICATIONS AND EXPERIENCE:

  • Five (5) O’ Level Subjects including Mathematics and English Language; with
  • Minimum of three (3) years of proven work experience in related field
  • Diploma or higher in Business Management or related field will be an asset
  • Training as evidence by the possession of a Diploma in Purchasing from the Chartered Institute of Purchasing and Supply (CIPS) or equivalent certification will be an asset.
  • Equivalent combination of education and work experience.

Executive Assistant - Accounting

KEY DUTIES & RESPONSILITIES:

  • Procurement and supplies management
  • Assists with smaller project management tasks including the digitization of company records
  • Provides administrative and operational support
  • Prepare correspondence, reports and other organizational documentation
  • Upkeep and preservation of records in the relevant system and document databases.
  • Enter correspondence on files in the form of folios
  • Provides support to accountant e.g. monthly reconciliation
  • Timely and accurate processing of invoices and payments
  • Participates in the planning of corporate activities as requested
  • Creates written drafts, then proofread documents to ensure accuracy
  • Maintain file register and filing system
  • Performs any other duties as assigned by the relevant Line Manager

KNOWLEDGE AND SKILLS: Accounting

  • Excellent verbal, written and interpersonal communication abilities.
  • Proficiency in Microsoft Office Suite and use of the computer
  • Knowledge of an Accounting software
