This role is to support the execution of corporate services as well as internal and external engagements with key stakeholders.

EXECUTIVE ASSISTANT

 

PRINCIPAL ACCOUNTABILITIES

  • Representing and positively promoting the company to internal and external customers
  • Acknowledging communication on behalf of the Managing Director and ensuring that all correspondence and other functions a are dealt with promptly by the Administrative Assistant
  • Supervise Administrative Assistant Telephone Operator/ Receptionist and Courier
  • Develop and implement internal communication campaigns tailored to the appropriate Company channels (email, MS Teams, flight screens, WhatsApp, Mob-E)
  • Create digital content and disseminate via the appropriate channels with the aim of keeping the Company staff consistently informed of important updates.   
  • Ensure that each function gets equal exposure of their updates by tailoring campaigns accordingly and timing their dissemination 
  • Support and enforce the appropriate use of the Company  logos on Company signage, materials, communication, tokens etc.
  • Monitor developments and stories in the media that may impact the company and keep the Line Manager and Leadership Team up to date.
  • Support the development of content and disseminate in the local media to advance the Company’s narrative or counteract any risks to the Company’s reputation.
  • Maintain close relationships with media houses in Jamaica in order to support the dissemination of Company sanctioned articles and features.
  • Support the development and implementation of strategies to monitor, analyze and prioritize activity to offset potential challenges and risks related to company reputation within government, business and other stakeholders.
  • Field numerous requests for sponsorship and escalate for approval requests that are aligned to the Company’s objectives.
  • Support the HR Department with staff engagement activities
  • Support the HR Department with communication in relation to important staff activities and changes
EDUCATIONAL REQUIREMENTS, SKILLS & KNOWLEDGE
  • Bachelor´s Degree in Business Administration, Management, or related fields
  • Computer Literacy: Word, Excel, Outlook, Android apps
  • Strong administrative and organizational skills
  • Engagement & Planning Skills
  • Ability to communicate effectively at all levels
  • Ability to engage external stakeholders at the highest level
  • Business and financial acumen.
  • Developing and maintaining relationships with clients, relevant external stakeholders, and partners
