JOB SUMMARY:
This position supervises the day to day functions of the Distribution
section of the Warehouse and Distribution Department and plays a
critical role in maintaining a high level of finished goods accuracy, at all
plants islandwide. Must plan for the short and long term finished goods
related issues, analyze data, define problems, draw valid conclusions and
make recommendations for improvement. Has responsibility for the
entire stock of finished products. The incumbent is also responsible for
monitoring and coordinating all activities as they relate to the
distribution of snacks island wide.

DUTIES AND RESPONSIBILITIES
Administrative Responsibilities:
- Participates in the development of the Company’s strategic business and operational plans
- Assist in preparing and managing the Department’s budget
- Assist in developing and monitoring the department’s strategic/ operational work plans and programmes;
- Review the Department’s structure, based on any organizational, changes that may be recommended
- Provide feedback to department members by having regular meetings.
- Attends various meetings with internal and external personnel regarding the Company’s operations
- Create schedule to manage the distribution staff and their time
Technical/Professional Responsibilities
- Manage and supervise all aspects of the warehouses, including finished goods
- Travel to the Annotto Bay and Petersfield plants at least monthly to conduct stock counts at each plant.
- selected routes in rural and urban areas and visit designated schools to ensure contractors adherence to delivery schedules
- Investigate and provide detailed distribution reports on variances and other reports required by Management
- Troubleshoot finished goods variances and derive solutions
- Perform reconciliation for all finished goods checks and record findings of variances
- Make recommendation for improvement and assist in implementing new systems to improve the control of the finished goods.
- Ensure completeness and accuracy of daily data entries for finished goods information
- Analyze store room use and make recommendations to avoid shortage/overage of finished goods
- Examine and inspect finished goods defects, correct quantities as recorded on packaging, expiry date, etc…
- Liaise with Night Loading Supervisor on a daily basis to ensure all previous days activities from all locations have been recorded and all the relevant documents have been duly signed, authorized and filed.
- Request all Production and Distribution reports from Plant Managers on a daily basis and analyze for discrepancies. Investigate and report all such discrepancies to Warehouse and Distribution Manager.
- Examine daily reports provided by the plant coordinators as it relates to the distribution and returns of finished goods as reported by delivery drivers.
- Establish standards and work procedures for staff supervised
- Actively and hands on supervision of Night Loading Supervisor, Night Loaders, Data Entry Clerks, Plan Co-ordinator and Delivery Contractors
- Prepare and compile distribution reports for all three plants (Kingston, Petersfield and Annotto Bay) on a timely basis.
- Liaise with distribution contractors to address all concerns reported by schools as they relate to distribution so as to minimize dissatisfaction
- Liaise with the School Feeding Unit of the Ministry of Education in assigning schools to the different delivery routes to ensure on time deliveries.
- Plan and monitor school routes as per delivery requirements
- Direct loading operations for effective deliveries
- Coordinate the shuttling service between the plants through communication with the Plant Managers and other relevant personnel.
- Ensure that all delivery concerns are urgently and adequately addressed by communicating with all Plant Managers and Coordinators.
- Any other duties as may be directed by the Warehouse and Distribution Manager
Human Resource Responsibilities:
- Monitors and evaluates the performance of direct reports, prepares performance appraisals and recommends and/or initiate corrective actions wherever necessary to improve performance and/or established personal and/or organizational goals;
- Participates in the recruitment of staff for the department and recommends transfers, promotion, termination and leave in accordance with established Human Resource Policies and Procedures
- Develops and implements in collaboration with the Human Resource Department, a programme of Succession Planning for the department to facilitate continuity and the availability of required skills and competencies to meet the needs of the Division;
- Provides leadership and guidance to direct reports through effective planning, delegation, communication, training, mentoring and coaching;
- Ensures the welfare and developmental needs of staff in the Department are clearly identified and addressed;
- Establishes and maintains a system that fosters a culture of teamwork, employee empowerment and commitment to the department’s and company’s goals

Qualifications:
- First degree in Management Studies, Logistics or equivalent qualification
- Certification in Inventory Management
Requirements:
Posses a sound knowledge of inventory control systems
Minimum of three (3) years supervisory experience in a similar position
Excellent written and oral communication skills
Ability to multi-task and set priorities
Strong organizational and analytical skills
Proficient in Windows based software
Own and operate a reliable motor vehicle

REMUNERATION
Basic Salary: $2,478,125.00 - $3,332,803.00 per annum
