JOB PURPOSE

To assist the compliance and revenue generation efforts by coordinating, monitoring, supporting and engaging in field related activities designed to enhance the delivery of service, improve customer awareness, increase compliance rates and expand the revenue base of the Agency.

  • Effective follow through of referrals
  • Low levels of rejection of documents submitted by the region
  • Sensitivity exercised in dealing with customers
  • Improved regional presence and effectiveness as determined by the corporate plan and results attained.

WORKING CONDITIONS

Normal Working Hours                       Monday to Thursday                 8:30 – 5:00

                                                            Friday                                       8:30 – 4:00

 

Work Environment                               Normal office conditions. Will be required to travel

SPECIAL WORKING CONDITIONS

Will be required to work beyond normal working hours. Exposure to violent non-compliant individuals.

JOB RESPONSIBILITY

  • Develops and maintains close working relationships with Field Agents ensuring that these Agents act in harmony with the principles, policies and procedures of the Companies Office of Jamaica.
  • Reviews the Field Agents’ output including quality and quantity of documents submitted and ensures information requested is supplied.
  • Supports the Business Support Officer in coordinating marketing activities and assist in preparing Agency publications and public education materials.
  • Networks with other agencies to ensure that customers in common are aware of their obligations under the law.
  • Coordinates & Supervises logistics activities and communicates with in-house stakeholders to remedy logistical problems that may arise that could hamper the compliance effort.
  • Participates in public education activities as directed by the Business Support Officer.
  • Participates in the development of marketing, public education & business plans.
  • Arranges for the identification of new and delinquent businesses through field prospecting to ensure compliance with legislative and Agency requirements.
  • Follows through on referrals made by the Field Agents, including payment plans, litigation, and removal and where appropriate recommend relevant action.
  • Assists customers in keeping with the Agency’s service standards to ensure companies and businesses comply with legislation and agency rules through the proper completion of submissions and through remedying long standing issues in collaboration with relevant office personnel.
  • Undertakes personnel and administrative functions for section staff in accordance with the Agency’s HR policies and procedures.
  • Performs other related duties as is required from time to time.

JOB DIMENSION/AUTHORITY

  • Provide operational advice to Field Agents in specified region
  • Review documentation submitted as a result of field activities by Field Agents
  • Identify delinquent entities and refers for action
  • Coordinate marketing and public education activities in region
  • Take disciplinary action in keeping with HR Policy

KEY COMPETENCIES

  • Sound knowledge of the Agency’s policies and procedures
  • Good knowledge of the Business Names & Companies Acts
  • A keen eye for detail
  • Effective organisational, time management and decision-making skills
  • General geographical knowledge of the island.
  • Effective customer service & communication skills
  • Sound human relations skills
  • Working knowledge of relevant computer application

QUALIFICATION & EXPERIENCE

  • Bachelors Degree in Business Administration/Management Studies/Marketing
  • Certification in Paralegal Studies would an asset
  • Two (2) years of related work experience, with at least one-year supervisory experience

OR

  • Associate Degree Business Administration/Management/Marketing
  • Certification in Paralegal Studies would an asset
  • Four (4) years related working experience, with at least two years of supervisory experience.
