The Business Manager oversees branch operations, ensuring efficiency, profitability, staff supervision, compliance, and excellent customer service while driving business growth and maintaining facility standards.

Job Title:Branch Business Manager

Reports To:CEO & Admin/Finance Manager

Purpose:To manage the branch facility in an effective  

and efficient way, ensuring profitability and 

viability of the facility

Department/Location:Facility/Branch 

Terms of Employment:Permanent - On successful completion 

of required six (6) month probationary     period.


Hours of Work:Monday to Friday 8.00 a.m. – 4.00 p.m.

Saturdays 8.00 a.m. – 1.00 p.m.


Qualifications:


Minimum Requirements and Experience:

  •  Bachelor’s degree in Business, Healthcare Administration, or a related field.

  • Leadership or management training and willingness to develop their professional and clinical knowledge to meet the needs of the role.

  •  Minimum of 3 years of experience in business development or operations, preferably in the healthcare industry.


Achievements and Skills:

  • Proven track record of achieving sales targets and driving business growth.

  •  Strong understanding of the healthcare market, including trends, challenges, and opportunities.

  •  Clear communicator with excellent written and presentation skills, capable of delivering clear ideas and concepts concisely and accurately.

  •  Ability to work independently and as part of a team.

  •  Experience in the efficient use and allocation of resources both human and financial

  •  Proficiency in Microsoft Office Suite and CRM software.

  • Ability to provide relief to other HealthNet locations as needed.

  •  Strong organizational and time management skills.

  •  Experience with market research and analysis.




TRAINING REQUIREMENTS AT HEALTHNET LIMITED:

  • Orientation and Introduction. 

  • Training required on the HNCL Systems.

  • Training required on HNCL’s Policies and Procedures.




Responsibilities:


Overall Responsibility: Manage all of the administrative, clinical and operative functions of the Clinic.


Human Resources Management

  1. Workload Planning and Staff Management (Supervision, Training, Delegation of Duties, Performance Appraisals) of subordinate staff

  2. Effective implementation and management of all company policies, rules and regulations. Ensure all said policies are properly executed (Employee Manual and others)

  3. Ensure that staff are properly trained in the clinic and understand the clientele and the administrative procedures surrounding the processes of serving the customer 

  4. Promoting and enhancing teamwork and healthy relationships amongst staff by leading as a mentor and support person.

  5. Responsible for the administering of all HR disciplinary procedures when indicated and compiling reports on such

  6. Responsible for the compiling and submission of attendance reports and leave forms to the Executive Assistant on a weekly basis and dealing with HR matters at a branch level.

  7. Supervise staff and complete routine performance reviews

  8. Communicate daily staff absences or approved leaves to Operations Manager with a plan for shift coverage

  9. Reinforce and motivate staff members into achieving the organization’s goals and objectives as well as department objectives

  10. Manage healthy vendor relationship with all medical providers for continued good standard and service 


Operations Management: 


  1. Responsible for all aspects of the operations of the branch runs smoothly as relates to the attached process flow document.

  2. Managing the schedules of all medical providers (doctors, nurses, dentists, specialists etc) whilst ensuring the timely, efficient and highest quality service rendered to patients.

  3. Ensuring that all supplies needed to run the clinic smoothly is in stock, and that it is properly stored, controlled and accounted for and that there is no abuse, theft or wastage .

  4. Responsible for the physical settings (internal and external surroundings) of the facility with regards to cleanliness, maintenance and upkeep utilizing the available resources and support of the company.

  5. Manage and monitor the safety and security aspects of the assigned facility (daily proper lock and key management for cupboards, entrance, exit and internal doors, security codes, cameras etc.

  6. Responsible for making routine daily checks on all equipment & amenities such as lighting, water supply, washrooms , ICT, lighting and electrical issues , medical , dental and diagnostic  machinery /equipment and supplies. 

  7. Ensure that the clinic business hours in terms of opening and closing hours are adhered to and that appropriate measures are put in place to meet this function. 



Financial Management and Reporting


  1. Responsible for the reconciliation, and balancing of monies; cash and cheques received on a daily basis and giving daily reports to the accounts department as per established procedures


  1. Ensuring that all cash and monies are securely packaged and handed over to the authorized courier as per established procedures. 


  1. Ensure that all other documents associated with financial matters are properly handled as per established procedures.


  1. Manage budgets and resources for business development projects.



Business Development 


  1. Responsible for ensuring that all business development and marketing activities undertaken by the business development unit of the company are properly executed at branch level. 


  1. Responsible for running branch business operations to meet profitable margins – (Income vs Expense) 


  1. Responsible for meeting branch sales target as set out in the branch budgets


  1. Undertaking marketing initiatives in generating business for the branch such as patient re-call telemarketing, in house marketing campaigns (brochures, flyers), surrounding corporate clients, insurance agents, health plan clients. 


  1. Monitor and report on the performance of business development initiatives.


  1. Work closely with the marketing team to develop promotional materials and campaigns.



Customer Service


  1. Ensure continuous staff development with respect to customer service training

  2. Handle customers queries and complaints as the need arises

  3. Liaise with doctors, dentists nurses, pharmacists and laboratory technicians on customer feedback 

  4. Complete and submit customer service level reports monthly as per established KPI’s.



Management Accountability 


  1. Meet with the CEO on a monthly basis to to discuss branch operations, sales and profitability

  2. Ensure effective clinic utilization and capacity planning, identifying where there are inefficiencies or lack of capacity and taking steps to address where productivity falls below targets

  3. Identify service improvement or modernization initiatives that will enhance the patient experience, improve quality of care provided or enable improvements in performance.
