The Assistant Warehouse Manager is responsible for working along with the Group Warehouse Manager to direct the management and handling of all warehousing and distribution functions at the organization’s warehouse facilities.

The Assistant Warehouse Manager is responsible for working along with the Group Warehouse Manager to direct the management and handling of all warehousing and distribution functions at the organization’s warehouse facilities. This includes oversight for inbound and outbound goods; resolution of customer complaints; process Improvements; as well as adherence to legislation, safety and organizational policies and procedures.

Key Responsibilities:

Inventory and Warehouse Management:

  • Manage the receiving, handling, distribution, and storage of all freight, products, and supplies.
  • Plan and optimize warehouse layout to prevent loss or damage and achieve full warehouse utilization.
  • Implement a warehouse layout that aligns with approved stock rotation policies (e.g., FIFO) for effective inventory management.
  • Safeguard inventory by ensuring proper receipt, storage, and accurate stock control.
  • Conduct scheduled physical counts to maintain stock accuracy and address discrepancies between inventory records.

Warehouse Operations:

  • Keep equipment operating efficiently by enforcing usage protocols, troubleshooting breakdowns, and coordinating repairs.
  • Devise and optimize inventory control procedures and recommend improvements for warehouse implementations.
  • Collaborate with Plant Managers on Finished Goods Inventory to ensure effective receipt and storage.
  • Collaborate with Group Finance on inventory management and control.

Logistics Coordination:

  • Liaise with Supply Chain, Sales & Marketing, and Production teams to manage inbound and outbound logistics.
  • Ensure quick turnaround times for shipments, minimizing costs such as demurrage and fines while maintaining customer satisfaction.
  • Coordinate monthly/annual stock-taking activities, capture key learnings, and implement corrective actions to improve inventory accuracy.

Customer and Supplier Relations:

  • Liaise with external customers, contractors, and suppliers as necessary.
  • Ensure timely communication and resolution of any issues with inbound or outbound shipments.

Safety, Security, and Compliance:

  • Enforce corporate safety and security policies to maintain a safe working environment.
  • Ensure timely submission of incident notifications, accident forms, and standard care for injured staff.
  • Maintain compliance with ISO standards and assist in addressing non-compliances by implementing corrective actions.

Staff Supervision and Development:

  • Motivate, organize, and encourage teamwork within the workforce to ensure productivity targets are met or exceeded.
  • Identify the training and development needs of warehouse staff and support their growth through corporate initiatives.
  • Brief team leaders daily or as required to provide strategic and tactical direction on warehouse best practices.
  • Manage time and attendance administration for the department, ensuring accurate tracking of workforce hours and attendance.

Process Improvement and Reporting:

  • Continually review and update warehouse procedures and work instructions in compliance with ISO standards.
  • Produce regular reports and statistics on warehouse activities (daily, weekly, monthly) as required.
  • Manage the warehouse department’s expenses and ensure they align with the approved budget.
  • Support annually defined companywide strategic goals aimed at the continued expansion of EIG.

Technology and Systems Management:

  • Maintain and manage stock control systems and ensure inventories are accurate.
  • Support the development of expertise in advanced data warehouse technologies, analytics, and warehouse virtualization.

Emergency and After-Hours Support:

  • Support the company in requests outside of normal working hours, ensuring communication access and contingency plans to meet customer needs.
  • Maintain communication with internal and external stakeholders to ensure smooth operations during emergencies.

Other:

  • Assist in monthly/annual stock taking as needed 
  • Comply with Policies and procedures
  • Promote safety awareness 
  • Perform any other duties as required

Educational and Work Requirements:

  • Bachelor’s degree in Logistics, Supply Chain Management, or a related field.
  • 5+ years of experience in warehouse operations and inventory management.
  • Knowledge of warehouse management systems (WMS) and other inventory control technologies.
  • Experience with ERP systems
  • Strong leadership, organizational, and problem-solving skills.
  • Excellent communication and collaboration skills.
  • Ability to work under pressure and meet tight deadlines.
  • Strong understanding of safety regulations and compliance requirements.
  • Excellent reporting skills
  • Proactive and results-oriented
  • Ability to supervise large and diverse teams
  • Ability to mediate and de-escalate conflict situations
  • High level of integrity and commitment to ethical practices.
