JOB SUMMARY

The incumbent is responsible for:

1. Processing of all incoming applications

2. Management of all outstanding requirements

3. Providing administrative support to Agency Manager and Agents

4. Providing customer service to Policyowners

 

RESPONSIBILITIES

  1. 1.       Process incoming applications, which consists of:
  • Placing applications into individual policy files.
  • Ensuring that all Life and Personal Accident applications are completed according to Company guidelines.
  • Ensuring that all new Life and Personal Accident applications are cross referenced.
  • Ensuring that the Agents have correctly calculated premiums

 

  1. 2.       Perform administrative functions with the Agency by:
  • Typing documents e.g. proposals, letters, memos, e-mails etc.
  • File agents’ correspondence in relevant files.
  • Scheduling appointments for Agency Manager.
  • Monitoring Agents’ Registration.
  • Maintaining confidential files for Agency Manager and Agents.
  • Maintaining, monitoring of Production reports for agents’ competitions, awards, etc.
  • Preparing documents for contractions of Agents. Follow up with the relevant investigator.

 

  1. 3.       Ensure Cash payments are balanced and deposited and forward documents to Income Processing Department

 

  1. 4.       Provide service to Agents and customers by:
  • Checking records and submitting claim for settlement.
  • Completing forms for financial and non-financial policy changes.
  • Attending to customer queries via telephone.
  • Preparing policy statements for Agents and Policyowners.
  • Requesting and distributing refund cheques.
  • Preparing letters to Policyowners.
  • Mail all receipts for cheque received for premium payment.

 

  1. 5.       Acknowledge and distribute incoming correspondence for the Agency Managers and Agents
  • Ensure all rerouted correspondence and queries are actioned promptly.

 

  1. 6.       Verify and disburse policy contracts to Agents for delivery to the Policyowner.
  • Verify that all policy contracts listed on transmittal are received.
  • Ensure that all policy contracts disbursed to the Agents are signed for and dated.
  • Update OLAS with the Delivery Receipts and forward it to New Business Department.

 

  1. 7.       Assists in the preparation of the budget for the Agency by:
  • Providing agents with production statistics.
  • Compiling and typing the information for submission to Head Office.

  1. 8.       Disburse and monitor all refund cheques received at Agency.

 

  1. 9.       Control use of company stationery.

 

  1. 10.   Other
  • Any other related duties that may be assigned by the Manager or Supervisor from time to time.

 

QUALIFICATIONS AND EXPERIENCE

  • LOMA, A.C.S., A.I.A.A.
  • A.P.S. designation will be an asset
  • Two (2) “A” levels
  • At least 2 years of experience in on-line processing system
  • Working knowledge of insurance laws and regulations as well as a comprehensive knowledge of Company’s products and procedures

KNOWLEGDE, SKILLS AND ABILITY

  • Communication Skills
  • Decision Making Skills
  • Computer Skills - Proficient in Microsoft Outlook, Excel, Word, Access and Power Point. Good numerical skills.
