SPECIFIC ACCOUNTABILITIES

  • Arrange files in cabinets for easy placement and retrieval.
  • Arrange packaging of older files to be stored offsite.
  • Assist in the completion of basic forms and letters.
  • Ensure accuracy and neatness of the filing system.
  • Ensure no documents in the file are misfiled, misplaced or lost.
  • Ensure safekeeping of files in possession.
  • Ensures accuracy in retention/record keeping – scanning, filing, classification and naming. 
  • Generate reports and registers related to records management.
  • Maintains strict confidentiality regarding sensitive information.
  • Non-disclosure of confidential information/records.
  • Photocopy/print documents as required.
  • Prepare and distribute outgoing mail and receive incoming mail.
  • Prioritizes tasks effectively to meet deadlines.
  • Recommend changes to the existing filing system and effect approved changes as necessary.
  • Retrieve and replace documents from file as instructed.
  • Retrieve files as necessary.
  • Scanning of GRC records and uploading same in the GRC’s SharePoint database.
  • Shredding of voided documents as instructed.
  • Takes initiative in identifying and solving administrative challenges.
  • Any other related duties.

  • Ability to work independently and as part of a team.
  • Ability to work with minimal supervision and independently.
  • Attention to detail and ability to handle sensitive information with discretion.
  • Confidentiality & Diplomacy.
  • Demonstrates clear and effective communication skills, both written and verbal.
  • Good interpersonal skills.
  • Organizational and Time Management.
  • Proactive & Attention to Detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

MINIMUM TRAINING AND EXPERIENCE

  • Undergraduate degree preferably in Business Management or related field.
  • Ability to work with Microsoft Office Suite.
  • Ability to work independently.
  • Any equivalent combination of training and experience.
