Are you highly organized, detail-oriented, and ready to take initiative in a fast-paced environment? We are looking for an Administrative Assistant to provide top-tier support to the General Manager while helping drive administrative and procurement functions with efficiency and professionalism.

Administrative Assistant to the General Manager
Company: Rhino Jamaica Limited
Location: Kingston, Jamaica
Reports To: General Manager

Key Responsibilities:

  • Provide direct administrative support to the General Manager, including managing calendars, travel, meetings, and correspondence.
  • Coordinate and follow up on internal projects, strategic plans, and operational activities.
  • Manage procurement processes: obtain quotations, prepare and track purchase orders, and assist in export and shipping functions.
  • Support purchasing of office, janitorial, and executive supplies; coordinate lunches, couriers, and express packages.
  • Organize and maintain administrative records, files, and contact lists.
  • Oversee office operations including mail, courier dispatch, equipment maintenance, and access control.
  • Assist with applying for tenders, budget development, and preparing business reports in collaboration with other departments.
  • Provide occasional support to sales and accounts teams with reports and reconciliation.

Minimum Requirements:

  • Bachelor's Degree in Business Administration or a related field.
  • At least 2 years’ experience in a similar administrative role.
  • Strong organizational, problem-solving, and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and familiarity with procurement or CRM systems is a plus.
  • Ability to work independently, maintain confidentiality, and adapt to changing priorities.
  • Experience in purchasing, shipping terms, and office coordination is an asset.
