The incumbent is responsible for administrative and clerical activities which include attending to correspondence, scheduling meetings and assisting the Supervising Officer with administrative tasks to ensure the efficient operations of the Department.

Key Responsibilities

  • Manages the schedule of the supervising officer, coordinates meetings, appointments and conference calls.
  • Arranges and prepares materials/requirements for meetings, internal and external, ensuring that all necessary documentation is available.
  • Assists with setting up audio/video conferencing and other equipment for remote meetings.
  • Completes a wide variety of administrative tasks that facilitate the supervising officer’s ability to lead the Department.
  • Prepares and issues correspondence by drafting letters, memos and other documents.
  • Receives and sorts incoming communication and correspondence on behalf of the supervising officer by reviewing content, categorizing, addressing and distributing to the relevant persons.
  • Supports daily office operations and maintains an organized work environment.
  • Maintains good working relationships with all levels of stakeholder representatives of the Department and the Commission.
  • Assists in the compilation of information and preparation of relevant documents for reports (weekly, monthly, quarterly) as needed.

Qualifications and Experience

  • Associates Degree in Business Management or Business Administration.
  • Proficient in the full suite of Microsoft Office.
  • Administrative Professional Certificate will be an asset.
  • A minimum of four (4) years of experience working as an Administrative Assistant or a similar role.

 This role requires excellent communication, time management, and organisational skills.
