KPMG in Caricom is seeking to hire a talented, highly skilled Administrative Assistant that will provide support to the management group within an assigned Practice by providing efficient management of administrative functions in our Jamaica office.
Job Purpose:
To provide administrative support to management and other staff in the performance of their duties. This is a busy and interesting role requiring the ability to be discreet, self-sufficient and flexible. We are looking for an excellent administrator who has the ability to provide excellent customer service, is extremely well organized and demonstrates the ability to pay close attention to detail. Our Administrative Assistant will need to be enthusiastic, extremely confident and assertive and possess the ability to prioritize workloads to meet tight deadlines
Roles and Responsibilities:
- Prepare clients' correspondences (engagement letters, planning letters, management letters) for dispatch within an agreed time frame
- Track engagement letters on a daily basis to ensure that they are signed by the client and returned in a timely manner
- Request billing plans as soon as engagement letter has been issued
- Process and dispatch all invoices due, based on billing plans, within one day
- Prepare shifted accounts as soon as current financial statements have been issued or upon request
- Work collaboratively with audit managers/in-charges, during the course of the audit, in the preparation of clients' financial statements by ensuring that all amendments and formatting are done correctly
- Manage performance managers’ calendars in Outlook, on a daily basis, by scheduling meetings efficiently, eliminating conflicts and offering times that are convenient to performance manager(s);
- Keep performance manager(s) informed of significant developments and progress of work, during the course of an audit
- Discuss client status with performance manager(s) where necessary, either via phone call, email, Teams message, etc., to ensure the firm’s and clients’ goals are met
- Follow up with audit managers to ensure timely onboarding of client as it relates to SAN and CEAC approvals, issuing of engagement letter and arranging client planning meeting;
- Support team members by answering questions and providing accurate information and interpretation of procedures
- Any other duties that may be required from time to time.
Qualifications and Experience:
- Strong experience of working in a team environment within a large company
- Experience working in a professional environment
- Minimum of 2-3 years of relevant work experience
Technical Qualifications
- Certificate, diploma or other relevant secretarial/ administrative training
- Intermediate to advanced level of proficiency in Microsoft Suite – Power Point, Excel and Microsoft Office
Other Skills
- Good client service and strong interpersonal skills
- Excellent communication and writing skills
