The Administrative Assistant (Front Office) is expected to greet, receive and direct clients in a timely manner and perform routine clerical and administrative functions.

DUTIES AND RESPONSIBILITIES:

  1. Provide prompt and courteous assistance to both members of the public as well as internal stakeholders.
  2. Receive payments and issuance of receipts to patients and doctors.
  3. Filing of documents, updating of registers and log books on a daily basis.
  4. Collect and dispatch internal and external mail correspondence.
  5. Perform telephone operator duties.
  6. Ordering, distributing and monitoring stationery.
  7. Perform other related duties as required.

KNOWLEDGE, SKILLS AND ABILITIES

KNOWLEDGE:

  • Knowledge of office practice and procedures.
  • Knowledge of filing and preparation of invoices, receipts and bills.

 

SKILLS AND ABILITIES:

 

 

 

 

  • Must be customer service oriented.
  • Ability to document and communicate effectively, both orally and in writing.
  • Ability to establish and maintain effective working relationships with internal/external partners.
  • Ability to think creatively and to demonstrate flexibility.
  • Ability to work effectively under stress, to prioritize, multi- task within tight deadlines and respond to changing demands.
  • Ability to use initiative and pay close attention to detail.
  • Ability to demonstrate integrity and maintain confidentiality.
  • Ability to operate standard office equipment such as photocopiers, scanners, facsimile machines and binders.

MINIMUM EXPERIENCE AND TRAINING:

  • Minimum 5 O’ level passes inclusive of Mathematics and English Language.
  • Proficient in Microsoft Office Suite.
  • Peachtree Accounting and Cashier experience will be an asset.
  • At least two (2) years’ work experience in a similar position.
  • A Police Certificate of Character (not more than 6months old)

OTHER:

  • Must be able to work a shift system, weekends and public holidays.
