Reporting to the Finance Manager, the Administrative Accounting Officer is responsible for the maintenance of Accounts Payable subledger, Payroll register, Fixed Assets, and inventory.

JOB SPECIFICATION

(a) Specific Knowledge:

  • Working knowledge of posting in computerised Accounts Payable sub ledger
  • Good knowledge of spread sheet applications including MS Excel
  • Payroll systems

(b) Qualifications and Experience:

  • At least three years working experience in Accounting.
  • Diploma or BSC in Accounts

(c) Desired Attitudes/Personal Traits:

  • Keen eye for details
  • Accuracy

RESPONSIBILITIES AND DUTIES

  1. Input vendor/suppliers invoices and payment vouchers in Sage 300.
  2. Writes cheques / upload payment file online for payments for signatures by authorized officers.
  3. Maintains schedule of recurring bills and ensures they are received and paid on time.
  4. Prepare and reconcile payments for approved voluntary deductions.
  5. Reconciles suppliers’/contractors’ statements and formulate response to queries for the signature of the relevant Manager.
  6. Analyses key expense accounts monthly and ensure they are accurately recorded in the GL
  7. Ensures the filing of paid vouchers (cheque requisitions) with supporting documents
  8. Assists with compiling lodgements
  9. Prepare and enter monthly journal entries
  10. Assists with the preparation of monthly and adhoc reports
  11. Prepare audit schedules including fixed assets register
  12. Participate in annual budget preparation
  13. Maintain inventory control
