Overview: Our client is one of the leading Real- Estate organizations with multiple offices across Barbados. Due to growth, they are seeking to appoint a competent administrator to support the Property Manager and overseas based owner in the smooth running of the luxury property. This is a combination of part-time (15 – 20 hours per week) that will require the flexibility to work extra hours depending on business needs.

Duties & Responsibilities:

  • Manage the day-to-day operations of the office with guidance from the Property.
  • Manager/Owner where applicable.
  • Perform general clerical duties at the property to include but not be limited to: proofing and writing reports, reconciliations, scanning, photocopying, mailing, and filing.
  • Manage the timely distribution of all correspondence for the villa including: physical mail, emails, memos, letters, faxes and forms.
  • Organize and schedule meetings and appointments as required.
  • Develop and maintain an up to date filing system, ensuring to file all correspondence accurately.
  • Coordinate various activities and processes and follow up with people as necessary to ensure completion of the tasks. 
  • Assist the Property Manager with operational tasks as assigned.
  • Act as point of contact in the absence of the Property Manager.
  • Coordinate with villa staff to ensure seamless flow of the day-to-day operations.
  • Effectively handle all requests and queries in a timely and confidential manner.
  • Effectively troubleshoot and problem solve when issues arise.
  • Assist the Property Manager and Owner with all ad hoc and daily task assigned.
  • Operate autonomously and effectively manage your time and tasks accordingly.

 

Requirements

  • A minimum of one (1) year experience in similar capacity.
  • Be flexible with the ability to adapt quickly in a fast-paced environment.
  • Ability to work with minimal to no supervision.
  • Tech-savvy and efficient with Microsoft Office. 
  • Detailed oriented and organized.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills. 
  • Possesses a high level of discretion and confidentiality.
  • Has own reliable transportation and a valid Driver’s License.
