Job Title: Accounting Clerk
Job Summary:
The Accounting Clerk is responsible for providing support to the accounting department, handling daily financial transactions, maintaining accurate financial records, and assisting with various accounting tasks. This position requires strong attention to detail, accuracy, and the ability to work efficiently in a fast-paced environment.
Key Responsibilities:
1. Accounts Payable:
- Process and verify invoices, ensuring accuracy and compliance with company policies.
- Prepare and process payment runs, including checks, ACH transfers, and wire transfers.
- Reconcile vendor statements and resolve any discrepancies.
- Maintain vendor records and manage W-9 forms.
2. Accounts Receivable:
- Prepare and issue invoices to customers.
- Record and reconcile customer payments, including checks, credit cards, and electronic transfers.
- Follow up on overdue accounts and assist in collections efforts.
- Maintain accurate customer records and manage credit applications.
3. General Ledger:
- Assist with general ledger entries, including accruals, adjustments, and reclassifications.
- Reconcile bank statements and credit card transactions.
- Prepare journal entries and assist in month-end and year-end closing processes.
4. Financial Reporting:
- Assist in preparing financial reports, including balance sheets, income statements, and cash flow statements.
- Support the preparation of budgets and forecasts.
- Provide support during audits by preparing required documentation.
5. Data Management:
- Maintain accurate and organized financial records, both physical and electronic.
- Update accounting software with new entries, adjustments, and corrections.
- Assist in maintaining fixed asset records and depreciation schedules.
6. Administrative Support:
- Answer and direct accounting-related inquiries from internal and external stakeholders.
- Provide support for payroll processing and employee expense reimbursements.
- Assist with filing, copying, and other administrative tasks as needed.
Qualifications:
- Associate's degree in Accounting
- Minimum of 1-2 years of experience in a similar role.
- Proficiency in accounting software (e.g., QuickBooks, SAP, or similar) and Microsoft Office Suite (Excel, Word).
- Strong attention to detail and accuracy in data entry and financial reporting.
- Excellent organizational and time management skills.
- Ability to work independently and as part of a team.
- Strong communication skills, both written and verbal.
**Working Conditions:**
- Standard office environment with occasional overtime during peak periods (e.g., month-end, year-end).
