Accounting Clerk

ACCOUNTING CLERK (LEVEL 5)
Basic Salary Range - $1,711,060.00 - $2,301,185.00
JOB SUMMARY
Reporting to the Manager, Finance & Accounting, the Accounting Clerk is responsible for maintaining financial records, processing transactions, and ensuring accuracy in financial documentation. The role is essential to supporting the Accounts/Finance team and ensuring smooth operations.
KEY RESPONSIBILITIES
- Provide administrative support to the accounting department, including filing, photocopying, and other clerical tasks;
- Ensure that all (local and overseas) disbursement vouchers and supporting documents (including purchase orders) are cancelled with the “PAID” stamp;
- Maintain out-going cheque books for local and overseas payments;
- Maintain a record of all incoming invoices received in the finance department for processing;
- Ensure that all payment vouchers are approved prior to payments made;
- Attach receipts and correspondences to relevant disbursement vouchers;
- Maintain a schedule of all disbursement vouchers sent to department heads for approval and return for queries as well as to the Internal Audit Section and external auditors;
- Assist with dispatching of cheques to creditors and employees;
- Research payment vouchers for information needed to compile various schedules and for audit by internal and external auditors;
- Prepare GCT withholding and contractors levy certificates reports monthly for payment submission online;
- Notify suppliers via email of payments made against invoices along with GCT certificates
- Prepare phone bill GCT report for internal use, preparation of Journal, cheque requisition and submit Journal Vouchers and requisition for payment;
- Prepare monthly GCT reports for Overseas marketing and Direction & Administration for internal and external use;
- Prepare Journal voucher to record fixed asset purchases for the month and pass on to the general ledger accountant;
- Ensure compliance with company policies and accounting principles;
- Perform any other duties assigned by the Accountant, Manager, Finance & Accounting or Chief Financial Officer.
REQUIRED EDUCATION AND EXPERIENCE
- Certificate in basic Accounting from a reputable Institution
- Five (5) CXC or GCE ‘O’ Levels including English Language, Mathematics and Accounts
- Three (3) years of experience in a similar position
OR
- Diploma in Accounting or Level 1 Accounting from MIND
- Two (2) years of experience in a similar position
- An Associate Degree in accounting would be an asset
