The Accounting Clerk is responsible for providing accounting and clerical support to the Accounts Department

Job Summary:

 

The Accounting Clerk is responsible for providing accounting and clerical support to the Accounts Department by performing clerical tasks such as filing and retrieving documents, handling mail, making phone calls, replying to emails and basic bookkeeping 

 

Key duties & responsibilities:

 

  1. Perform administrative and secretarial duties including typing, collecting, preparing compiling and preparing accounting documents and records
  2. Receive and transcribe confidential dictation and compose correspondence independently or in accordance with oral or written instructions
  3. Maintain the confidentiality of all information received in adherence with company policy
  4. Prepare and type a variety of materials such as reports, letters and other documents; proof read and edit materials to ensure completeness and accuracy
  5. Follow-up and receives copies of all receipts and deposits from the Beetham, San Fernando and Tobago offices and reconcile accordingly
  6. Records all payments received into the Peachtree/QuickBooks accounting systems
  7. Records and files scanned copies of all cheques received after VMCOTTs receipts are prepared and before bank deposit
  8. Ensure copies of receipts are dispatched to customers
  9. Accurately conduct research, locate, assemble and summarize information and data for use by the Accountant in presentations and reports.
  10. Receive and screen office visitors and answer telephone calls; screen and direct telephone calls; take messages; provide information and respond to queries and questions where necessary; and exercise discretion in public contacts
  11. Performs  other  duties  related  to  the  accounting  procedures  as  assigned  by  his/her Supervisor. (Accountant/Finance Manager)
  12. Lifting or moving heavy boxes to facilitate research and filing

 

Must possess a good working knowledge of: -

  1. Research techniques and source and availability of information
  2. Pay attention to detail and accuracy and work with strict deadlines
  3. Competent in the use of the latest financial software, processes and procedures
  4. General accounting principles and practices standard accounts payable and accounting receivable policies and procedures
  1. Must have knowledge of purchase orders and other related accounts payable and accounting receivable documentation

 Must possess the skills & ability to: -

  1. Establish and maintain effective working relationships with all levels of staff and communicate effectively with diverse clients
  2. Communicate effectively financial data and other information in order to analyze, interpret, evaluate, identify present and forecast future trends in the company’s performance
  3. Must be able to function with a high level of professionalism when interacting with external and internal clients
  4. Must have the ability to understand and interpret supplier invoices, statements, and other request for payments

 

 

Qualifications & Experience:

 

  1. Five GCE or CXC O’Level passes (including Math, English and Accounting)
  2. At least one (1) year progressive experience in accounting and clerical duties
  3. Must possess proficiency in computer applications including financial management and accounting systems, Microsoft Word & Excel
  4. Knowledge of Sage/Peachtree/QuickBooks will be an asset
