EXPERIENCE
• Minimum of three (3) years previous accounting experience in Accounts Payable, bank reconciliation and account
analysis.
• Minimum of six (6) months Accounts Payables experience and use of accounting software.
Document Control
•Ensures all documents relating to the Accounts Payable process are property managed, recorded and stored for future action. Filing of documents must follow the system that has been established in order to satisfy easy retrieval.
Invoice validation and processing
• Must have full knowledge of the account coding process and system in use. Must also have full understanding of
costs associated with the business and its structure and makes full use of budgets to ensure proper allocation of
costs.
• Validates all invoices before processing, by use of internal controls that have been established for such a purpose.
• Processes invoices on a timely basis. All valid invoices must be processed and available for payment within one week
of receipt. Invoices must be accurately entered, properly described and appropriately batched before posting. The
AA must aim to have 100% accuracy at all times.
• Logs invoices requiring further investigation due to absence of an element or elements of the internal control
processes and actions in a manner to bring to resolution in the shortest possible time. Where required, contact
must be made with the vendor in order to assist with resolution.
Knowledge of Policies & Contracts
•Demonstrates in-depth understanding of the Global Inter-Company Policy, Financial Delegation of Authority, Labour
and Service Contracts (in use by CMMS) and others as required.
Accurate accounting records
• Processes invoices accurately for VAT and other tax obligations.
• Accrues for all unprocessed invoices or obligations at the close of each period.
• Enters all data and accurately describes general journal transactions on a timely basis. All deadlines for data entry
must be done in accordance with pre-determined dates.
Billings and receivables
•Supports the process around the receipt of cash from employees or third parties and prepares deposit documents
for bank deposit on a timely basis. Prepares and issues receipts.
