The Warehouse Coordinator is responsible for the daily operations of the JRJ Bonded Warehouse.

Job Description

The Warehouse Coordinator is responsible for the daily operations of the Warehouse. This includes managing the warehouse staff, liaising with clients and customs authorities, ensuring compliance with Trinidad and Tobago laws and bonded warehouse regulations, and identifying new business opportunities. The Warehouse Coordinator will also be responsible for HR functions, safety protocols, and maintaining high operational standards for the facility.

 

Key Responsibilities

  1. Warehouse Operations Management
    • Oversee the day-to-day operations of the  Bonded Warehouse.
    • Coordinate inbound and outbound logistics of goods, ensuring accurate documentation and timely processing.
    • Ensure compliance with all customs regulations and bonded warehouse laws of Trinidad & Tobago.
    • Monitor and maintain the warehouse's security protocols, including supervising two security guards, a cleaner, and a warehouse attendant.
    • Schedule and manage the team to ensure efficient operations and coverage during business hours.

 

  1. Client & Customs Liaison
    • Act as the primary point of contact for clients, providing updates and ensuring their goods are stored, processed, and delivered according to their requirements.
    • Liaise with Customs and Excise authorities to ensure compliance and facilitate smooth operations for all inbound and outbound shipments.
    • Build and maintain relationships with clients and customs agents to foster long-term partnerships.

 

  1. Business Development
    • Identify and pursue new business opportunities to attract new customers for bonded warehousing services.
    • Collaborate with the sales and marketing teams to promote the warehouse’s services and capabilities to potential clients.
    • Develop pricing models and service agreements tailored to new and existing clients.

 

  1. Regulatory Compliance
    • Ensure full compliance with Trinidad & Tobago regulations governing bonded warehouses.
    • Stay updated on legal requirements, industry trends, and changes in customs regulations to ensure the warehouse's operations are in alignment with laws.
    • Coordinate with legal and regulatory advisors to prepare for audits and inspections.

 

  1. Human Resources Management
    • Serve as the HR point person for the Bonded Warehouse staff, including recruitment, onboarding, performance evaluations, and training.
    • Develop and maintain staff schedules to optimize operational efficiency.
    • Ensure compliance with workplace safety regulations, conducting safety training for staff when necessary.
    • Handle employee relations, payroll approvals, and HR-related queries for the  Warehouse team.

 

  1. Facility and Equipment Management
    • Oversee the maintenance of the warehouse and its equipment, including forklifts and security systems.
    • Ensure cleanliness and organization of the warehouse facility.
    • Coordinate with external vendors for equipment servicing and repairs.
    • Develop and enforce safety protocols for handling equipment and goods.

 

  1. Reporting and Documentation
    • Prepare regular reports on warehouse operations, including stock levels, inbound/outbound shipments, and compliance documentation.
    • Maintain accurate records of all transactions, inventory, and audits.
    • Monitor and report on the financial performance of the warehouse, including budgeting and cost management.

 Key Competencies

  • Strong understanding of bonded warehouse operations and customs regulations in Trinidad & Tobago.
  • Excellent leadership and people management skills.
  • Effective communication and relationship-building skills with clients and customs authorities.
  • Business development and negotiation skills to identify new customer opportunities.
  • Strong HR and administrative abilities for managing staff and ensuring compliance with employment laws.
  • Attention to detail in compliance, safety, and operational reporting.

 

Qualifications & Experience

  • Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or related field.
  • Minimum 5 years of experience in warehouse operations, with at least 2 years in a bonded warehouse setting.
  • Experience with HR functions, including recruitment, employee management, and compliance with labor laws.
  • Working knowledge of customs and excise regulations in Trinidad & Tobago.
  • Strong proficiency in warehouse management software and Microsoft Office Suite.
