Job Summary

Reporting to the Process Manager, the Technical Business Analyst - Processing provides the necessary technical, analytical, research and business support to the Processing Group. The position will affect this responsibility through a comprehensive understanding of business strategies, processes, departmental deliverables, services focusing on customer requirements, process improvement as well as performance reporting. These activities will be based on the department's work plan activities and related operational requirements. The position is required to provide Technical Business Analytical support to the Processing Group in addition to supporting the group of companies, its subsidiaries and new business ventures as required. These activities are expected to be conducted safely, cost effectively and reliably, and must be delivered in a manner that consistently adds value to PPGPL’s overall business process. The position will also be required to provide support to the Group of Companies and its subsidiaries and new business ventures as required

Dimensions

The Technical Business Analyst - Processing is responsible for providing all the technical, analytical, business and general support functions to the Process Manager and the Processing Group. This requires the incumbent to interface with members of the Operations Leadership Team, Leadership Team, North American Leadership Team and other executives within PPGPL, subsidiaries and various external vendors and agencies. The individual must understand the entire company’s operations including subsidiaries, department procedures and precedents, organizational protocols, and corporate networks. These functions must be performed in a highly confidential and sensitive manner. The position also ensures a high performance, customer service-oriented work environment which reflects company values and supports achieving the department’s strategic mission, goals, and objectives. These responsibilities are expected to be performed with a considerable degree of independent accountability, technical and business savvy and innovation in support of the department.

The incumbent supports the change management process, creation of innovative goals and objectives through business process improvements, stakeholder engagement and communication, identification, analysis, and mitigation strategies for organizational risk, issues, and challenges. Must be able to work collaboratively in a time sensitive environment to support priorities and ensure all delivery timelines are met with the highest level of quality.

In addition, the incumbent works closely with business partners to understand the level of effort regarding scope and complexity of all business requirements and provides gap analysis when needed, tracks and measure all related KPI’s/Success metrics where assigned. The role requires assisting in the implementation of an artificial intelligence (AI) and machine Learning, ML strategies to fulfil business needs. The incumbent should possess knowledge in AI technology to identify solutions that align with project requirements, while considering scalability and future needs. The individual has primary responsibility for providing all administrative functionalities associated with key elements of Process Safety Management (PSM) related to the Processing Group.

The position operates under general guidance at the level of the Process Manager and functions within clearly prescribed rules, regulations, and internal controls.

Nature & Scope

 The Technical Business Analyst - Processing operates in a dynamic and fast-paced environment, interfacing with various stakeholders, including the Operations Leadership Team, Leadership Team, North American Leadership Team, other executives, subsidiaries, external vendors, and agencies. The individual plays a critical role in ensuring efficient processing operations through comprehensive technical, analytical, business, and administrative support, while upholding confidentiality and sensitivity. The incumbent must navigate corporate networks, organizational protocols, and department precedents to contribute effectively.

This role involves a wide range of activities, including supporting change management, identifying and mitigating risks, engaging with stakeholders, driving business process improvements, and ensuring the successful implementation of artificial intelligence (AI) strategies to meet business needs. Additionally, the incumbent tracks and measures KPIs and success metrics, ensuring that all assigned projects meet delivery timelines and quality standards. The position also holds administrative responsibility for key elements of Process Safety Management (PSM) related to the Processing Group.

The complexity of the role arises from the need to balance technical, business, and strategic tasks while managing multiple projects and stakeholder interests. The individual must apply both business and technical acumen, along with innovative thinking, to solve complex challenges and enhance organizational performance.

The Technical Business Analyst is expected to assist the Process Manager with making informed decisions, provide gap analysis, and offer strategic solutions, while adhering to established rules and internal controls. The role’s overall contribution is to support a high-performance, customer-focused environment, aligning with company values and advancing the department’s strategic goals and objectives. 

Duties & Responsibilities

  1. Co-ordinates interface meetings involving the Process Manager, Process Group, and various internal and external stakeholders. Tracks and updates meeting notes, training activities and relevant PSM related actions.  
  2. Analyses work flows and makes recommendations for streamlining and improving processes.
  3. Collaborate with stakeholders to identify opportunities for AI and machine learning solutions.
  4. Utilize, monitor and assess the performance of implemented AI solutions, making recommendations for improvements.
  5. Conducts preliminary evaluations of proposals, feasibility studies, forecasts and other strategic initiatives for the Process Manager 's review.
  6. Conducts research as required, summarizes and documents the findings to aid in business decisions and problem solving. Advises on economic and management trends to support operational effectiveness, as necessary within the department.
  7. Develops relevant KPIs, dashboards, charts, graphs, documents, reports, presentations to support performance reporting for Processing; as well as analyse these KPIs and dashboards alongside business processes and systems to identify areas for improvement and efficiency.
  8. Coordinates the preparation of the Processing Group’s Annual Budget and all associated documents to facilitate approvals in accordance with established procedures.
  9. Monitors expenditure against each Processing budget item. Facilitates the request for funds transfer when necessary and accruals to support accurate financial accounting.
  10. Generates requisitions and solves all queries for Processing related activities.
  11. Manages all documentation and document control utilising the SharePoint online filing system for the Processing Group consistent with company policies and procedures for Enterprise Information Management (EIM), Records Management, Document Control and Process Safety Information (PSI) Systems.
  12. Prepares and organises a range of documents in support of the various work activities and facilitates access for Processing and other personnel.
  13. Interfaces with internal departments, group and subsidiary companies, vendors, service providers and contractors on a wide range of work-related matters.
  14. Coordinates the review and approval process and tracking of all Process related procedures.
  15. Updates status of the Training Matrix for the Processing Group.
  16. Manages development, distribution and filing of all Plant/Process related reading sheets and other Plant/Equipment Checklists.
  17. Coordinates with Vendors for all Testing & Equipment Calibration activities within the Processing and Offsites & Measurement Sections.
  18. Provides all administrative support to Processing during Plant Turnarounds and Facility Shutdowns inclusive of facilitating the outfitting of the physical permit office with all necessary requirements for the shutdown activities.
  19. Provides administrative support as required to the Technical Services and Operations Improvement Groups.
  20. Coordinates the Inventory of Permit books and other documents in support of the Permit to Work (PTW) system.
  21. Maintains inventory of office supplies in support of Processing activities.
  22. Leading and/or participating in committees and cross-functional teams in accordance with roles and duties identified as per workplans and/or team charters
  23. Provides support to PPGPL’s subsidiary business units on an as-needed basis as part of the shared services model between PPGPL and its subsidiary entities. 

Job Specifications

Minimum Acceptable Academic Qualifications

Bachelor’s Degree in Arts or the Social Sciences or a related discipline from an accredited tertiary institution.

AND

Minimum Number of Years of Relevant Experience

A minimum of five (5) years administrative experience, inclusive of document management in the petroleum or petro-chemical sector.

 Specific Skills and Knowledge

  • Advanced working experience in use of MS Suite e.g., Word, Excel, Visio, Project, PowerPoint, Access, Teams, Power BI; Electronic Mail, Microsoft SharePoint and Oracle E-Business Suite would be required. In depth Knowledge of the Maintenance, Purchasing and General Ledger Modules in ORACLE
  • Working experience in Data Analytics
  • Agile Project Management Training
  • Attention to Detail: To analyze, highlight and interpret critical information, the incumbent need to be extremely attentive to detail
  • Perform highly detailed work on multiple, concurrent tasks with frequent interruptions; meet intensive and changing deadlines
