The Technical Administrator will provide timely, well organized, efficient and high-quality administrative support to the Logistics and Technical Team.

TECHNICAL ADMINISTRATION (TA)

The Technical Administrator will provide timely, well organized, efficient and high-quality administrative support to the Logistics and Technical Team.

ROLES & RESPONSIBILITIES

  • Provide general administrative support to key logistics and technical personnel.
  • Assist with reviewing, scheduling, coordinating and following through with jobs and projects.
  • Handling phone calls, responding to emails and messages; ensuring these communications are passed to the appropriate staff member in a timely manner.
  • Assist with managing defectives and coordinate activities centred around resolving aftersales issues in a timely manner.
  • Assist with procurement; preparing orders for delivery and materials for jobs.
  • Prepare & filing of purchase orders for approval, receiving, filing of invoices and delivery notes.
  • Prepare, update, review, file and manage documents using a range of different IT and physical filing systems to ensure information and data is always maintained, organized and secured.
  • Support continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
  • Liase between key sales, procurement, logistics and technical personnel to improve efficiency.
  • Establishment and maintenance of effective communications and working relationships
  • Attendance and minuting of meetings as required
  • Other duties as assigned.

REQUIREMENTS & QUALIFICATIONS

  • Diploma or Certificate in Business Administration or related.
  • At least 3 years’ experience in field of discipline (having experience specific to the company’s products and services is a plus)
  • Proficiency in the use of Microsoft Office Software Suite (Excel, Word, PowerPoint)
  • Experience / Training in the use of Task and or Project Management Software(s)
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Exceptional customer service skills
