Quality Co-ordinator

Job Summary:

The Quality Coordinator reports to the HSEQ & HR Manager and assists the Manager in the clerical, coordination and scheduling of Quality Management System activities for the Company.

 

Key Responsibilities - Job Functions:

  • Coordinates the Quality Management System’s Annual Action plan with responsible Process Owners to assure schedule and standard compliance.
  • Provides guidance to Process Owners on preparation and/or updating Quality Management System processes to assure compliance with ISO 9001.
  • Assists the HSEQ & HR Manager in developing the Internal Audit schedule, and coordinates with Internal Auditors to ensure timely audit report submission.
  • Leads all non-conformance investigations with appropriate team members inclusive of Subject Matter Experts and Process Owners, tracking NCR’s till closure.
  • Manages the HSEQ Action Tracker and reports any issues to the HSEQ & HR Manager.
  • Conducts regular roll-outs with staff on procedural compliance.
  • Manages all quality documented information, using the Document Control system implemented within the Company.
  • Reviews procedures as necessary and makes recommendations for improvement and compliance with ISO 9001, customer and supplier requirements, and statutory regulations.
  • Assists in reviewing Quality Assurance records where necessary, to ensure compliance with QMS procedures and referenced standards.
  • Assists in the preparation and conduct of Management Review Meetings.
  • Assists in the conduct of Internal Auditor meetings.
  • Assists in coordinating External Audits including those from Customers, Suppliers and ISO 9001 auditors.
  • Develop and manage KPI scorecards for the various Processes.
  • Works with Process Owners to report on performance and ensures performance corrective plans are developed by those Process Owners, and reported in Management Reviews.
  • Conducts training with staff in ISO 9001 and the QMS to assure QMS performance through competence.
  • Any other function as dictated by the QMS.

  • Co-operate with supervisors and managers on health and safety matters.
  • Do not interfere with systems, procedures or safeguards provided to protect their health and safety.
  • Take reasonable care of his/her own health and safety.
  • Report all health and safety concerns to the HSE & HR Manager.
  • Inform HSE & HR Manager when special waste in your area needs disposing.
  • Report any unsafe conditions or practices to your superior and the HSE & HR Manager.
  • Observe and comply all safety rules and regulations.
  • Know how to perform jobs assigned and perform them properly.
  • Not undertaking any job you do not understand. Ask your immediate superior if there are any questions or any doubt.
  • Wear/use all safety equipment required by the job to be performed.
  • Participate in safety meetings held by your superior.
  • Report all injuries immediately to your superior.
  • Cooperate with supervisors when injury and accident investigations are being done so that accident causes can be determined and corrective action taken.
  • Report any and all defective tools or equipment immediately.

  

HSE Behaviours

 Candidate Profile:

  • Very proficient in ISO 9001 (at least 2015 and newer).
  • At least four (4) years experience working in a Quality Administrator/Coordinator role, and must have worked through at least two (2) external audit cycles.
  • Must have formal quality training e.g. Six Sigma yellow belt, Certified ISO 9001 Lead Auditor, Root Cause Analysis etc.
  • Tertiary education will be considered an asset, particularly in Quality or HSE Management, or Engineering.
  • Minimum of five (5) ordinary level passes, Mathematics and English included.
  • Proficient in MS Office Suite

  • Fully compliant and well managed Quality Action Plan
  • On schedule Internal Audits
  • NCR reports closed out within pre-set targets
  • Well established and reported process performance KPIs
  • Well managed and compliant External Audit plan, assuring ISO 9001 compliance.
