The Heart Foundation of Jamaica (HFJ) has received a grant from the Global Health Advocacy Incubator, a program of the Tobacco Free Kids Action Fund and the Campaign for Tobacco Free Kids as part of the Bloomberg Philanthropies efforts to support NCD prevention in the Caribbean.

Job Description Summary: 

The Project Coordinator provides support to the project team by performing secretarial/administrative duties as required and aiding the Project Manager. He/ She will work closely with Communications Officer, the Advocacy Officer as well as the Project Director Health Education Officer and the Senior Manager -Finance at the Heart Foundation of Jamaica.

    Duties & Responsibilities:

  1. Perform secretarial/administrative duties for the project team
  2. Plan and schedule meetings and appointments
  3. Maintain and organize files and records
  4. Maintain and update database of all invoices and cheque requisitions
  5. Maintain and update database files of all key stakeholders
  6. Prepare/review/edit/dispatch correspondence, reports, presentations, documents
  7. Type/ prepare documents, as required
  8. Assist in planning, arranging and attending designated meetings and record and prepare minutes
  9. Answer, screen and transfer inbound telephone calls and monitor overseas and long-distance telephone calls
  10. Perform general clerical duties including photocopying, faxing, and arranging mailing activities
  11. Maintain electronic and hard copy filing systems
  12. Handle requests for information and data
  13. Schedule and coordinate meetings, appointments, and travel arrangements for the Project team.

Job Requirements:

  1. Bachelors degree required in Public Administration Business Administration or a related field
  2. At least 2 years of hands-on secretarial or administrative support experience.
  3. Project Manager Certification would be an asset.

  2. Good interpersonal skills: the ability to communicate clearly and effectively at all levels, considering cultural differences
  3. Computer skills and knowledge of relevant software
  4. Proficient at recording and preparing minutes of meetings
  5. Ability to plan, organize, and prioritize
  6. Strong problem-solving skills
  7. Highly confidential
  8. Good research skills and attention to detail and accuracy
Duration of employment contract:1 year
