This position requires you to establish forward thinking mentality in all Supply Chain and Shipping logistics efforts, resulting in responsible and cost-efficient supply of materials for the Company.
I. This job requires you to be an effective negotiator when comparing freight costs and purchasing of raw and packaging materials. Must be an organized record keeper of suppliers, costs and tracking shipments, for the organisation and all its divisions. Our internal customer service requires that you treat all customers, internal and external, with respect by responding to their needs within agreed time frames and address conflict and problem situation with tact.
II. Major Functions:
Working closely with the Purchasing Manager and CEO to take full responsibility for the negotiating, shipping, purchasing data entry for orders, and logistics management functions of incoming shipments within KPL Group.
III. Duties and Responsibilities
Duties includes sourcing new suppliers with the primary objective being to save the company on cost of inputs while maintaining quality. Preference shall be given to ISO Certified suppliers. You will be required to work closely with the Inventory and Customs/Shipping departments, in addition to working directly with the Purchasing Manager and CEO to take full responsibility for the negotiating, shipping and purchasing data entry.
• Negotiate with all suppliers of raw and packaging materials
• Negotiate with shipping lines on freight costs
• Coordinates and facilitates the procurement requirements of the organisation on the basis of the procurement policy guidelines and purchasing forecast
• Ensure the pre-qualification of suppliers as per the company’s ISO 9001 procurement policy and update and maintain the approved prequalified suppliers lists accordingly
• Creates purchase orders for various departments’ requisitions, ensuring relevant procurement and approval procedures have been applied with all supporting documentation attached as per the organisation’s policy
• Ensure all correct shipping documents are submitted to the Customs department in order to ensure shipping deadlines are met
Logistics & Administration
• Liaise with the organization’s Customs department and provide logistical support in coordinating delivery of imported goods, including consolidating and loading of containers with the organisation’s approved freight forwarders
IV. Required Qualifications and experience:
• University degree in Business Administration or a Masters in Supply chain management, logistics and shipping, or equivalent.
• Completed Advanced Diploma in procurement and supply from CIPS level 4 or 5 would be an asset.
• Computer applications in Excel, Word and in particular Microsoft Dynamics Great Plains Purchasing Module.
• Working knowledge with Microsoft Great Plains emphasis on purchasing module
• 3 years working experience with data entry emphasis on speed and accuracy

VI. Working Relationships:
Internal: Interacts with all KPL Group staff on a daily basis, and as required.
External: Interacts with local and international suppliers, specialists / consultants, and other stakeholders, in collaboration with the Purchasing Manager
