Our Client, an organisation in the Insurance Sector, is seeking to fill the position of Executive Assistant.

JOB SUMMARY

The Executive Assistant manages and oversees the day-to-day operations of the assigned Executive. All activities must conform to the guidelines and standards set by the organization and must conform to recognized professional administrative standards.

 

KEY RESPONSIBILITIES

  • Provides comprehensive, professional, responsive and efficient administrative support to the Executive.
  • Maintains systems and provides administrative support in all areas, to ensure optimal preparedness and execution of the Execuitve’s responsibilities to internal and external stakeholders.
  • Troubleshoots conflicts with little guidance; makes sound judgments and recommendations, to ensure smooth day-to-day operations.
  • Manages all forms of communications, ensuring that all calls and visitors are professionally managed, in keeping with the company’s premier brand image.
  • Prepares, proofreads, edits, copies, and distributes documents, inclusive of minutes and notes of meeting, in accordance with agreed standards.
  • Logs and routes correspondence, drafts letters/memos/documents while analyzing information; accordingly, ensuring decisions made are communicated to the relevant company stakeholders.
  • Prepares for meetings inclusive of ordering meals, booking rooms, and ensuring any other requirements are met. Organizes travel arrangements and itineraries.
  • Maintains hard copy and electronic filing systems to facilitate easy retrieval and proper records management, in keeping with the company’s business, legal and regulatory requirements.
  • Exhibits initiative and sound decision-making in handling the oversight of the Execuitve’s office.
  • Provides administrative services on various projects and initiatives as assigned.
  • Compliance with all company policies.
  • Other related duties as assigned.

 

QUALIFICATIONS & EXPERIENCE

  • Bachelor’s Degree or equivalent in Business Administration or related field.
  • Administrative Professional Secretary qualification.
  • Three (3) years’ experience in a similar capacity and level.
  • Advanced level in Microsoft Office Suite
  • Must be proficient in Microsoft Office suite.
