Job Title: Administrative Assistant

 

Job Description:

 

We are seeking a highly organized and proactive Administrative Assistant to join our team. The ideal candidate will provide essential support to our management and staff, ensuring the smooth operation of our office.

 

Key Responsibilities:

 

1. Office Management:

   - Maintain a clean and organized office environment.

   - Monitor and order office supplies as needed.

   - Handle incoming and outgoing mail and deliveries.

 

2. Administrative Support:

   - Assist with data entry, document preparation, and report generation.

   - Schedule and coordinate meetings, appointments, and travel arrangements.

   - Handle phone calls and correspondence, directing inquiries to the appropriate staff members.

   - Maintain filing systems, both physical and digital, ensuring easy retrieval of documents.

 

3. Communication:

   - Act as a liaison between internal teams and external partners.

   - Draft and proofread emails, memos, and other documents.

   - Manage incoming and outgoing communications effectively.

 

4. Event Coordination:

   - Assist in planning and organizing company events, meetings, and conferences.

   - Coordinate logistics, including venue selection, catering, and materials.

 

 

 

5. Data Management:

   - Maintain and update databases, records, and contact lists.

   - Generate and analyze reports as requested.

 

Qualifications:

 

- Proven experience as an Administrative Assistant or in a similar role.

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

- Strong communication and interpersonal skills.

- Exceptional organizational and time management abilities.

- Attention to detail and accuracy in all tasks.

- Ability to handle confidential information with discretion.

- Excellent problem-solving skills.

- Proactive and self-motivated with a positive attitude.

- Flexibility to adapt to changing priorities.

 

Education:

-A minimum of five (5) years relevant experience in a similar position

-7 CXC/CSEC passes inclusive of English Language

-Administrative Professional Certificate/Diploma or Administrative Diploma.
