POSITION PROFILE

Job Title: Inventory Manager

Department: Inventory

Reports to: Operations Manager

Location: Headquarters - Piarco Trinidad

Job Purpose The Inventory Manager will oversee, monitor and report on Homeland & Fabricland Stores inventory levels and movements, while collaborating with Finance, Stores, Warehouse & Buying Teams. This role is responsible for the timely and accurate management, maintenance, and control of inventory within our system. This role involves planning, implementing, and monitoring procedures to ensure optimal stock levels are maintained, inventory is well-organized, and the company operational and financial targets related to inventory are met. Strong analytical skills, attention to detail, organizational skills, and ability to work collaboratively are crucial for success in this role.

 

 

PRINCIPAL ACCOUNTABILITIES

  1. 1.       Key Result Area: Inventory Management
  • Responsible for accurately processing / recording all inventory movements in the accounting system - (purchase order receipts, warehouse and store transfers, stock adjustments, vendor returns and customer returns.
  • Follow up on discrepancies (shorts or overs) for inventory receipts from purchase orders or from transfers (consolidated containers) to ensure accurate close out within the system.
  • Enter incidental costs for each shipment upon recording of purchase order receipts and monitoring of the item full landed cost on the Item Card.
  • Review and reconcile inventory, inspecting product and supply levels daily in the accounting software to anticipate inventory problems and shortages. Investigate any negative inventory balances and ensure supporting documents are collated for any adjustments required and forwarded to the Finance Manager for approval.
  • Conduct cycle stock counts as per stock count calendar and reconcile variances against system, perform investigations as required. Reports to be circulated to the Management Team for approval and accounting system to be updated in a timely manner.
  • Schedule and supervise Homeland annual stock count, collaborating with Operations and Finance departments. Ensuring the correct methodology and structures are enforced, while maintaining transparency for stakeholders & auditors.
  • Prepare and circulate weekly inventory KPI reports to management team including but not limited to stock losses, out of stocks and aged stocks.
  • Assist with working with the warehouse team, as requested, overseeing the item selection, packing customer orders, processing restocking lists and ensuring deliveries are recorded accurately.
  • Perform other inventory related tasks and projects as assigned.
  1. 2.       Key Result Area: Governance and Compliance
  • Improve and or develop policies and procedures for inventory management.
  • Create awareness of these policies and procedures among the various teams, to ensure products are transferred and received according to Homeland inventory guidelines. Monitor and report any non-compliance to the management team.
  • Comply with company Health & Safety Polices and attend Occupational Health & Safety Training where required.
  • Assist with inventory matters and provide information for statutory audits when requested.
  • Ensure all inventory documents and records are maintained according to company guidelines and standards.
  1. 3.       Key Result Area: People Management
  • Maintains a friendly disposition and provides delightful customer service every day.
  • Effectively plan and supervise inventory team to ensure business goals are met.
  • Provide ongoing training and guidance to all Homeland team members for areas under the inventory management umbrella.
  • Mentoring the inventory team on decision making and communication style.
  • Develop Key Performance Indicators for direct reports and conduct semi-annual performance assessments.
  • Develop succession plan within the inventory team.

 

TECHNICAL COMPETENCIES

Level of Education, skills and training required for the job:

  • A Minimum of five (5) years’ experience in a similar position.
  • University degree in Business Administration, Inventory management, Procurement, Supply Chain or Warehousing.
  • A comprehensive understanding of retail & warehouse inventory processes.
  • Supervisory experience and or training.
  • Knowledge of computerized Warehouse Management System would be an asset.
  • Computer Literacy, knowledge of Microsoft Office Suite & ERP software experience, preferably Microsoft Dynamic, Business Central.
  • Customer Service Orientation.
  • Excellent interpersonal skills.

PHYSICAL COMPETENCIES

Physical Requirements:

  • Ability to be mobile on the warehouse, office & sales floor for extended periods of time.
  • Ability to pull, push lift objects weighing 20lbs.
  • Ability to lift and carry medium to large items several feet, weighing up to 150 pounds, while utilizing appropriate equipment.
  • Availability to work weekends, early or late hours and entire holiday season (especially October to December) under shift schedule, according to the needs and demands of the business.
