The incumbent will be responsible for the daily processing of inventory transactions and the monitoring of inventory controls to ensure inventory records and balances are accurate and up to date.

PRINCIPAL DUTIES

  • Ensures that policies and procedures over inventory are adhered to.
  • Checks goods received against supplier invoices and purchase orders to ensure quantities ordered were received and invoiced.
  • Create and print Goods Received Memos (GRMs) for warehouse and Staff Shop to record goods physically received from suppliers.
  • Process goods received from supplier in the system.
  • Ensures supplier invoices are provided, prices agreed to purchase orders and processed in the system for goods physically received.
  • Ensures the relevant documents for foreign shipments are uploaded by Customs Department and inventory costings are accurate and approved prior to posting in the system.
  • Update the container tracker to reflect goods received and processed in the system.
  • Ensures goods short shipped and / or damaged are identified, adjusted in the system and documentation submitted for claims.
  • Ensures pending supplier credits are accurately processed in the system.
  • Process stock transfers between warehouses as per approved requests and supply chain transfers.
  • Review and process stock adjustment requests for free offer and banded items transfers, cost change, disposals, etc.
  • Ensures processing errors, inaccuracies and discrepancies are highlighted, addressed and resolved in a timely manner.
  • Works with all departments to ensure completeness and accuracy of daily data entries of all stock transfers, purchases, adjustments, sales etc.
  • Perform and reconcile stock counts (i.e., Cycle, Annual, etc.) and ensures variances are properly investigated.
  • Conduct audits of van stock and ensures variances are properly investigated.
  • Makes recommendations for improvements and assist in implementing new initiatives to improve the efficiency and accuracy of inventory.
  • Assists in assessing and correcting problems that may occur with the inventory system.
  • Reconciles supplier statements with Accounts Payables and follows up on any discrepancies via correspondence.
  • Analyze and report on inventory damages, disposals, expired goods and count variances by warehouse on a monthly basis.  
  • Analyze stockholdings and identify slow moving and near-expired goods at least monthly.
  • Monitor virtual stock locations to ensure transactions are completed in a timely manner to clear the locations.
  • Compiles report showing the advertising and finance charges for all divisions and their respective product classes.
  • Set up new items and ensures the item master database is up to date in the system.
  • Ensures inventory documents are adequately maintained and filed.
  • Perform other duties that may be required to enhance the operations of the Company. 

QUALIFICATIONS/ EDUCATION AND EXPERIENCE

  • Completion of CAT / ACCA Level 1
  • At least 3 years’ working experience in Inventory Management or Accounting
  • Experience in FMCG industry will be an asset
