The Executive Administrative Assistant will act as a primary point of contact for internal and external stakeholders, coordinating meetings, managing calendars, and handling communication on behalf of the CEO.

The Executive Administrative Assistant plays a critical role in providing high-level administrative support to our Chief Executive Officer (CEO). The incumbent requires exceptional organizational skills, discretion, and the ability to handle sensitive information with professionalism and confidentiality. 

Specific Job Functions

  • Manage the calendars of the CEO including scheduling meetings, appointments, and travel arrangements.
  • Coordinate and prioritize incoming requests and communications, ensuring timely responses and follow-up actions.
  • Prepare and edit correspondence, reports, presentations, and other documents on behalf of the CEO.
  • Attend meetings, take minutes, and distribute meeting agendas and action items as required.
  • Conduct research, compile data, and prepare briefing materials for executive meetings and presentations.
  • Act as a liaison between the CEO, internal teams, external partners, and clients, maintaining effective communication and relationships.
  • Assist in organizing company events, conferences, and corporate functions.
  • Manage confidential information with discretion and professionalism.
  • Handle ad-hoc administrative tasks and special projects as assigned by the CEO.
  • Accompany the CEO on occasional local and overseas travel, if required.

Education/Training/Experience

  • Bachelor's degree in Business Administration, Management, or related field preferred.
  • Proven experience as an executive assistant or similar role, supporting senior-level executives.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Experience in project management. A project management certification is a plus.
  • Previous experience in the pharmaceutical or healthcare industry is a plus.

  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong verbal and written communication skills, including professional phone and email etiquette.
  • Discretion and confidentiality in handling sensitive information.
  • Attention to detail and accuracy in all work.
  • Ability to work independently with minimal or no supervision and as part of a team.
  • Flexibility to adapt to changing priorities and requirements.
  • Strong Interpersonal skills.
