The executive assistant has a pivotal role in providing comprehensive administrative, organizational, and strategic support to executives of a dynamic technology company.

This position requires a high level of professionalism, discretion, and the ability to manage multiple priorities in a fast-paced, innovation-driven environment. The Executive Assistant serves as a key liaison between the Executives and internal/external stakeholders, ensuring smooth communication and efficient operations.

Key Responsibilities:

Administrative and Strategic Support:

•           Manage Executive's calendar, scheduling appointments, meetings, and events to maximize efficiency.

•           Prepare, edit, and organize reports, presentations, and correspondence on behalf of the Executives.

•           Conduct research, analyze data, and prepare briefs to support the Executives in decision-making.

•           Handle confidential and sensitive information with the utmost discretion.

Meeting and Event Coordination:

•           Organize and facilitate executive meetings, including preparing agendas, taking detailed minutes, and tracking follow-up actions.

•           Coordinate board meetings, investor meetings, and other high-level events, ensuring all logistics are handled seamlessly.

•           Plan and execute special projects or events as directed by the Executives.

Communication Management:

•           Act as the primary point of contact for internal and external communications directed to the Executives.

•           Screen and prioritize emails, calls, and requests, ensuring timely responses and efficient communication flow.

•           Build and maintain relationships with key stakeholders, including board members, investors, and senior executives.

Travel and Itinerary Planning:

•           Arrange complex travel plans, including flights, accommodations, visas, and transportation.

•           Prepare detailed travel itineraries and provide on-call support during travel.

Office Management and Support:

•           Oversee the day-to-day operations of the executive office, ensuring it runs smoothly.

•           Collaborate with other departments to align on goals and projects.

•           Implement and manage processes to improve operational efficiency within the Executive office.

Project Management:

•           Support Executives in managing strategic initiatives and high-priority projects.

•           Monitor project progress, timelines, and deliverables, ensuring alignment with Executives objectives.

Qualifications and Experience:

•           Bachelor’s degree in Business Administration, Management, Communications, or a related field (preferred).

•           Minimum 3 years of experience as an Executive Assistant, ideally in the technology sector or a fast-paced environment.

•           Exceptional proficiency in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Asana, Trello, or similar).

•           Experience working with senior executives, board members, and external stakeholders.

•           Strong understanding of the technology industry and its dynamics (preferred).
