Customer Service Coordinator

The Role

We are seeking a highly organized and detail-oriented Customer Service Coordinator to join our Customer Service Department. The successful candidate will provide essential support, ensuring smooth operations and exceptional service delivery to our customers. This role requires excellent communication skills, organizational skills, a proactive attitude, and the ability to multitask in a fast-paced environment.

What You'll Be Doing

  • Provide excellent customer service while handling customer inquiries via phone, email, WhatsApp and live web chat
  • Ensure that customer service matters are handled in a timely manner with the required follow-up action executed to result in efficient resolution of customer issues
  • Maintain and update an accurate client database
  • Prepare and process correspondence, reports, and other documents needed by clients, the department and company
  • Schedule and coordinate meetings, trainings and other events of the department
  • Generate, update and maintain accurate client data and service records which is accessible by the Customer Service Manager
  • Generate and analyse data while creating reports to support the customer service team and management
  • Present findings and recommendations based on report analysis to the Customer Service Manager
  • Manage contracts and data-related documentation, ensuring all information is up-to-date and accessible
  • Assist in the preparation, review, storage and administration of client contracts
  • Coordinate with relevant departments to resolve contract-related issues and discrepancies
  • Collaborate with the internal and external team members to streamline work processes to ensure for maximum efficiency
  • Assist with training new team members and provide ongoing support
  • Participate in team meetings and contribute to continuous improvement initiatives
  • Handle incoming and outgoing mail and deliveries
  • Maintain a friendly, helpful and collaborative attitude to support a positive work and team culture
  • Perform any other task that is reasonably suited for this role for the overall success of the department and company in general

A Little Bit About You

  • Excellent verbal and written communication skills
  • Excellent problem solving, critical thinking skills and time management skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work independently and as part of a team
  • High attention to detail and problem-solving skills
  • Customer-focused attitude with a commitment to delivering high-quality service
  • Experience in report writing and data analysis

Minimum Qualifications

  • Bachelor’s Degree in Business Management or related field
  • Minimum of 5 years’ experience in Customer Service or project/administration role
