This role combines daily bursary duties with the management of school systems, including online programs, application centers, and printing stations.

Working hours are from 7:00 a.m. to 4:00 p.m. Hours can be extended daily depending on work to be completed or students to be collected.

Salary Range: $250,000 to $350,000 monthly (based on qualifactions and experience)

QUALIFICATION & REQUIREMENTS

-    QuickBooks proficient.

-    Microsoft Office proficent

-    Google Suite proficient 

-    Associates or Bachelors Degree in business adminstrartion, accounting or finance. 

-    At least 3 years experience in the same or similar position

SPECIFIC BURSARY TASKS

-    Prepare and send termly invoices.

-    Send statements where necessary.

-    Advanced vocabulary and drafting skills for necessary verbal and written communication with customers.

-    Customer service trained and able to professionally and eloquently interact with customers (in person/ telephone/ email) regarding payments or other account matters.

-    Systematically manage receivables, payment plans and consistently follow up with customers where necessary via telephone and formally in writing when necessary (email/letter)

-    Collect payments from customers and update system (familiarity with using a banking point of sale system is an asset)

-    Collect and update invoices from vendors to system

-    Manage payables and prepare payments for collection/delivery

-    Interact and manage relationships with vendors/suppliers

-    Responsible for petty cash disbursements, entries and reconciliation

-    Organized and proficient in filing, keeping invoices and statements categorized and organized for reference.

-    Managing a hard and soft copy filing system which is easily navigated for timely delivery of accounting/ financial files/documents (invoices, receipts etc.)

-    Management of weekly/monthly payroll including distribution.

-    Organized and possessing a good memory to ensure timely and efficient task execution.

-    Check bank accounts (online) and update with charges or updating student accuonts to reflect online payments.

SYSTEM COORDINATING TASKS

-    Organizing daily printing requests from teachers and co-ordinating a system for timely disbursement/ collection

-    Monitoring all application and online service subscriptions (eg. Think Central, Google Suite, Smart Term etc.)

-    Troubleshoot application/ printer issues and provide assistance to staff where needed and contacting service providers for necessary repairs/ maintenance needs – and ensuring completed.

-    Monitor Special (external) teacher (Spanish, Music Art etc.) attendance, tardiness and hours worked for proper reporting, billing and payment.

-    Assisting special (external) teachers with online troubleshooting and system errors, making suggestions where appropriate for necessary changes/strategies to avoid errors.  

ORDERING OF SUPPLIES:

School supplies are ordered on a half termly basis.  Assessments are to be made at the end of each half term/end of term and list made of items needed.  This must be sent to the vendor for a pro-forma invoice to be prepared.  Only after the approval (from CFO) should the goods be ordered. Work closely with office administrator regarding finalization of lists and final order to be made. 

STOCK TAKING:

-    Management of the supplies and concession/vendor stand stock ensuring orders are placed for replenishment when necessary and also to properly monitor the length of time specific stock lasts and report discrepancies/concerns.  

-    Stock taking should be done in a detailed manner at the beginning, half term and end of term periods and orders made accordingly; while weekly updates must be entered to stock management system to allow for periodic reconciliation.

-    The above stock requirements applies to the schools supplies stock and the concession stand stock distributed to the canteen for resale.
