Job Description- Administrative Assistant 

NICE Global is looking for a highly capable, highly motivated, energetic Administrative Assistant to add to our growing team of industry leaders! We are seeking an organized and efficient individual to support our Human Resources (HR) department. This role is essential in ensuring smooth and efficient operations within the department, assisting with administrative tasks, supporting HR projects, and providing excellent service to our employees.

Responsibilities:

Responsibilities include, but are not limited to:

  • Providing clerical and administrative support to Human Resources executives.
  • Compiling and updating employee records such as creating employee e-files and maintaining hard files.
  • Managing the document process for E-Signature.
  • Coordinating HR projects for meetings, training, surveys, etc. as well taking minutes.
  • Assisting the Human Resources Manager with preparations for disciplinary hearings.
  • Providing support with payroll preparation by providing relevant data on raw production hours.
  • Assisting with initial orientation to newly hired employees.
  • Assisting with employee vacation requests and correctly process them by recording their vacations to their correct appointment years.
  • Creating employee credentials in tracking tool.
  • Assigning lockers and assisting with procuring security badges for new employees.
  • Planning and executing employee engagement activities as well as managing engagement budget.

Requirements:

  • Minimum of 1 year work experience as an administrative assistant or similar role.
  • Computer Proficiency and Knowledge of MS Office Suite.
  • Knowledge of Jamaican Labor Laws and/or HR processes, a plus.
  • Excellent Organizational Skills, with an ability to prioritize important projects.
  • Strong interpersonal skills.
  • Excellent verbal and written communication skills.
  • Ability to work independently, problem-solve with excellent time management skills.
  • Must be able to work on holidays, as required.
