Accounting Supervisor AP

Experience Required: Minimum five (5) years of experience in a similar role, preferably in the retail environment.

 

Position General Purpose:

Responsible for performing a variety of accounting activities in accordance with accounting principles and standards to control the organization’s financial resource and ensure that it complies with all relevant regulations, law and reporting requirements

 

Key Responsibilities:

  • Manage and provide support to AP staff in Trinidad, Barbados and Jamaica and coordinate efforts to ensure we meet our payment obligations and deadlines
  • Weekly review of the expense Subledger reports for Trinidad, Jamaica and Barbados and work with the AP Leads and in country AP Officers to help resolve aged items
  • Weekly review of invoices for payments including petty cash reimbursements, employee foreign and local travel reimbursements, logistics, customs payments and construction payments, ensuring proper evidence of approvals and supporting documentation Also ensure adherence to tools developed to track the timeliness of critical/recurring
  • payments such as utilities and monthly rental payments
  • Successfully transition AP reconciliations to Managed Services for Trinidad, Jamaica Barbados and assist with the monthly review and resolutions of issues/variances identified
  • Work with Department Managers on the new MDM vendor maintenance system to onboard expense vendors, and perform reviews on vendor set up forms submitted to create accounts for employees
  • Perform standard monthly close duties ensuring all approved invoices are keyed and payments are updated in AS 400 This includes reviewing the MPO Logs for Trinidad, Barbados and Jamaica to identify expenses to be accrued Also review the Customs Deposit reconciliations and ensure this and all bank transfers/transactions are journalized and keyed together with any other items coming out of the review of the monthly  Financials
  • Upload files to Banking platform for payment of fortnightly and monthly payroll Trinidad, Jamaica and Barbados
  • Document management policies to be followed to ensure proper filing and retrieval of documents for internal, external and statutory audit purposes

 

Position Requirements:

  • Degree in Business Administration, Accounting, Finance or pursuing level 3 ACCA Required Competences:
  • Ability to communicate effectively, demonstrate teamwork, provide leadership and highly confidential
  • Organization time management skills Must be able to multi task with efficiency accuracy
  • Excellent math and analytical skills
  • Advanced knowledge of Microsoft Excel
  • Knowledge of Windows operating systems and AS 400
  • High level of enthusiasm with a positive attitude Proficient in English (verbal and written)

 

Key Responsibilities:

  • Timely review of Intercompany expense invoices, Loan Interest payments and Foreign invoices for payment of withholding taxes and completion of critical spreadsheets to avoid payment of penalties and interest Also analyze intercompany merchandise invoices for essential items for timely submission to EXIM bank and subsequent payment applications
  • Work with other departments to ensure all taxes including WHT, VAT, Green Fund Levy, Corporation
  • Taxes and Payroll Taxes are remitted to the Board of Inland Revenue on time
  • Manage Internal and External Audits related to AP requirements and provide support for Statutory Audits
  • Continue the onboarding of all expense vendors on the ACH platform to eliminate payments via cheques and charges associated with wire transfers
  • Support Shared Services and Buying departments to ensure merchandise vendors are paid on time Also provide accurate projections to the Treasury team to ensure funds are available to meet daily working capital requirements.
