The Port Authority of Jamaica wishes to recruit an ADMINISTRATIVE OFFICER in the Harbours Department.

SALARY SCALE: $5,612,841.27 - $6,418,683.77 per annum.

JOB SUMMARY:

This position is responsible for providing daily administrative services to the Harbours Department. This includes preparing correspondence, arranging and administering meetings, and maintaining an efficient filing system.

 

QUALIFICATIONS & EXPERIENCE:

  • Bachelor’s Degree (preferably in Business Administration or related area)
  • At least five (5) years’ experience
  • A financial background would be considered an asset.

 

DUTIES & RESPONSIBILITIES:

  • Process requests from Managers/Supervisors for contract and replacement staff and prepare staff requisition form for approval.
  • Prepare and submit recommendations for acting appointments and promotions for approval.
  • Monitor attendance and punctuality of staff and ensure that accurate records are maintained.
  • Supervise the distribution of mail, ensuring that urgent items are dealt with expeditiously.
  • Monitor office attendants to ensure that services are delivered promptly and efficiently.
  • Maintain and monitor office supplies.
  • Facilitate the performance appraisal process, ensuring the process is initiated and completed; follow up with Supervisors and HR on recommendations resulting from appraisals.
  • Maintain contracts for equipment maintenance and other related services.
  • Ensure the proper use and maintenance of all office equipment; aid and support staff in the utilization of computers and other office equipment.
  • Administer non-technical activities for the Lighthouse staff by ensuring:

-       Official residences are suitably furnished.

-       All HR welfare and related matters (loans, insurance queries, sick certificates, etc) are processed.

-       Leave taken is inputted into the system and kept updated.

-       Staff are issued with uniform items and personal protective equipment.

-       Communication equipment is available and functioning, including for emergencies.

-       Reimbursement for ancillary items purchased (fuel, etc) are processed.

-       Provisions are made for staff using the staff cottages, where these exist.

-       Procurement of ancillary items for the facilities.

  • Attend and record meetings, produce minutes and/or action sheets as required.
  • Assist in the preparation and submission of the Department's capital and recurrent budgets.
  • Administer Harbour Master and petty cash imprests; maintain records of all payments received as well as cheque disbursements.
  • Control and monitor the issuing of lunch tickets to staff.
  • Assist with coordinating the Disaster Preparedness programmes in response to hurricanes and other natural disasters.
  • Any other duties assigned.
