SALARY SCALE: $ 1,900,694.77 - $ 2,283,572.25 per annum.
JOB SUMMARY:
This position provides general secretarial/administrative support services to the AVPs and other managers in the Engineering Department.
QUALIFICATIONS & EXPERIENCE:
- Bachelor’s degree in Business Administration or equivalent
- Minimum of three (3) years’ experience in similar capacity
SPECIFIC KNOWLEDGE REQUIRED:
- Competence in office management procedures, office procedures and the use of contemporary office machines
- Computer literacy with sound knowledge of Microsoft Office Suite
- Knowledge of protocols in relation to Government offices
- Preparation of technical documents
DUTIES & RESPONSIBILITIES:
- Type reports, letters, technical and other documents, and correspondence
- Receive visitors and maintain appointment diaries for VPs /AVPs/ Engineers
- Screen incoming telephone calls and visitors and redirect as appropriate
- Record and reproduce minutes and action sheets within time required
- Establish/maintain reminder system for AVPs/ Engineers/Project managers
- Prepare draft response for routine correspondence and submit for review/signing
- Organize and co-ordinate overseas travel arrangements for dept. managers
- Seek quotations for supplier services and prepare related cheque requisitions
- Assist the managerial staff in the department with administrative matters.
