To expedite and ensure the accurate, safe, environmentally responsible loading/unloading of fuel from/to gantry and/or bulk storage tanks at assigned Company locations, and enable financial accountability, record-keeping and reconciliation of product movement, in a timely manner. 

MAIN DUTIES AND RESPONSIBILITIES 

  • To efficiently, accurately and safely load/unload fuel at assigned Company locations to/from authorised vehicles, in an environmentally responsible manner.
  • To ensure compliance with Company, stakeholder and regulatory policies and procedures in the operating of the gantry/bulk storage tanks.
  • To initiate the loss prevention process by ensuring accurate and verifiable transfer of fuel to or on behalf of the customer.
  • To ensure financial accountability for, and record-keeping and reconciliation of product movement, in a timely manner.
  • Review the Daily Master Schedule considering the assignment of authorised vehicles relative to customers, inventory levels, simultaneous location activities and the timelines for lifting of fuel at the supplier/bulk storage, seeking clarification from the Distribution Coordinator, as necessary.
  • Accurately prepare Suppliers' fuel requisition documents (e.g. Product Order), in a timely manner, to fulfill orders as captured on the Daily Master Schedule.
  • Accurately prepare Customer Proforma Invoices, Invoices or Delivery Notes, in a timely manner, to fulfill orders as captured on the Daily Master Schedule.
  • Update Transport Orders with information as it becomes available during the fuel loading process at the Supplier/Bulk Storage.
  • Monitor and collaborate with the Supplier's designated authority, to ensure the time efficient loading of fuel onto the authorised vehicles.
  • Monitor bulk storage fuel levels, reconciling any fuel movement into and out of the storage tanks.
  • Load fuel onto authorised vehicles from storage, or into storage from authorised vehicles, at the Company's Bulk Storage facilities, in accordance with the documented loading procedures.
  • Issue instructions to the authorised vehicle operators to ensure expediting of loading operations in a safe and compliant manner, in accordance with the Daily Master Schedule.
  • Dispatch authorised vehicles loaded with fuel to customers, ensuring that the authorised vehicle operator is in possession of all necessary documentation for fuel deliveries.
  • Effectively communicate any issues raised by authorised vehicle operators during transit and delivery (e.g. breakdown of authorised vehicle, service station unable to receive invoiced volumes, etc.), to the Distribution Coordinator, and work with the Coordinator towards resolution of same.
  • Accurately prepare ad hoc reports as requested by senior management, from time to time.
  • Report irregularities observed in the operations of any parties in the Supply Chain to Company designated authorities.
  • Support the implementation and monitoring of Petrochemical Product Loss Prevention initiatives and processes.
  • Perform general office management, maintaining a working environment compliant with OSH requirements, and ensuring adequate stationery and other supplies for effective operation. 

ACADEMIC/PROFESSIONAL QUALIFICATIONS 

        • A vocational qualification or Associate Degree in any of the following fields:

            - Instrumentation 

            - Automation 

            - Mechanical Engineering

            - Industrial Engineering

       • A minimum of three (3) O'Levels including Mathematics and English.

       • A minimum of one (1) year experience in receiving and dispatching of goods, warehouse operations and stock                 taking, in any industry.

       • Experience in the downstream segment of the Petrochemical industry will be an asset.

       • Experience in hazardous working environments such as Oil & Gas, Process Plants, etc., which have a high HSE                  standard.

       • Computer literate, with competence in the use of the Microsoft Suite of products.

       • Knowledge of Enterprise Resource Planning (ERP) systems, e.g. Maximo, SAP, Microsoft Dynamics, Oracle, Sage,              etc., will be an asset.
