JOB OVERVIEW:

Responsible for the daily distribution of revenue to proper departments and categories. Generates Daily Revenue Report and maintains input of all forecast and budget figures on the report. Ensure proper distribution of daily Hotel Sales & Promotion (S&P’s). Balances and transmits all credit card transactions. Checks all cashier balances and trains on proper procedures. Accountable for all pass through invoices and the respective guest / group charges.

 

QUALIFICATIONS:

Essential:

  • High school graduate with secondary education or specific employment experience.
  • Ability to provide excellent verbal and written communication with guests, hotel staff etc.
  • Ability to compute mathematical calculations.
  • Strong organizational skills
  • Computer proficiency – MS Excel

Desirable:

  • College degree or above, Finance or business major
  • Prior audit experience
  • Prior hotel experience

 

SKILLS:

Essential:

  • Ability to input and access information into / from the Property Management System.
  • Ability to maintain concentration and think clearly.
  • Ability to focus on details and resolve numerical problems.
  • Ability to prioritize, organize and follow up.
  • Ability to maintain confidentiality of pertinent hotel data
  • Ability to promote positive relations with customers and staff.
  • Ability to provide clear and pleasant telephone communication.
  • Ability to perform job functions with minimal supervision.
  • Ability to remain stationary at assigned post for extended periods of time.
  • Ability to work cohesively with other departments and co-workers as part of a team.

Desirable:

  • Prior training in guest relations.
  • Prior hotel Finance experience
  • Master at spreadsheet manipulation

ESSENTIAL JOB FUNCTIONS:

  • Maintain complete knowledge of and comply with all hotel/departmental policies and S.O.P’s.
  • Maintain complete knowledge of property management system, Interfaces and manual procedures
  • Maintain complete knowledge of correct maintenance and use of equipment; use equipment only as intended.
  • Set up and organize workstation with designated supplies, forms and resource materials; maintain cleanliness at all times. 
  • Answer telephone within 3 rings, using correct salutations and telephone etiquette.
  • Prepare, distribute and transmit daily revenue report as assigned.
  • Prepare, maintain and communicate all statistics and reports as assigned
  • Maintain accurate spreadsheets for credit cards, S&P charges, taxes, adjustments, third party vendor’s etc.
  • Input all forecast and budget figures and test accuracy.
  • Conduct individual outlet audits and report discrepancies to the Director of Finance / Asst. Director of Finance / Staff Accountant.
  • Test and ensure proper communication between interfaces and the P.M.S.
  • Maintain all filing requirements according to retention mandates in the SOP’s
  • Continuously train other Front Office/Outlet employees on proper auditing and processes

SECONDARY FUNCTIONS:

  • Assist with other Finance job functions as assigned.
  • Resolve all guest inquiries and opportunities
  • Assist with all special projects as assigned.
